About the role

You will serve as a strategic partner to the CEO from our Portland headquarters: managing priorities, coordinating operations, overseeing communications, and working directly with leadership on confidential initiatives, client engagements, board preparation, and growth. This is not a traditional administrative role.

Fractional Coordinator is building the next generation of civil rights compliance. We provide senior fractional leadership, independent investigations, certified training, strategic consulting, and OnePointe, our AI-native case management platform, to colleges, PK-12 school districts, workplaces, and government agencies across the United States.

Responsibilities

  • Manage the CEO’s calendar, travel, meetings, and strategic priorities.
  • Coordinate internal and external communications on behalf of leadership.
  • Prepare executive briefings, presentations, reports, and meeting materials.
  • Track key initiatives and ensure projects remain on schedule.
  • Assist with recruiting, onboarding, and candidate coordination.
  • Support business development efforts, proposals, and client communications.
  • Coordinate conferences, training programs, and executive events.
  • Maintain confidential records and sensitive information with discretion.
  • Organize board materials and executive documentation.
  • Improve operational processes and recommend efficiencies across the organization.
  • Work closely with leadership on special projects that span operations, legal strategy, technology, and growth.

Requirements

  • 3-7 years of experience supporting senior executives or founders.
  • Exceptional written and verbal communication skills.
  • Outstanding organizational and project management abilities.
  • Strong judgment and ability to handle confidential information.
  • Ability to prioritize competing demands with minimal supervision.
  • Experience using Google Workspace, Microsoft Office, Slack, Zoom, Notion, and modern productivity tools.
  • Comfortable learning AI tools and other emerging technologies.
  • Highly detail-oriented with excellent follow-through.
  • Professional presence and customer service mindset.
  • Ability to work independently in a fast-moving startup environment.

Preferred Qualifications

  • Experience supporting executives in consulting, legal, technology, education, or professional services.
  • Experience coordinating events or executive travel.
  • Familiarity with CRM or project management software.
