Executive Assistant to the CEO
About the Role
As the Executive Assistant to the CEO at Sigma Nursing, you will serve as a trusted operational partner to the organization’s chief executive, ensuring that the CEO’s time, attention, and energy are directed toward the highest-priority work of the organization. This is a high-visibility, high-trust role that requires exceptional judgment, absolute discretion, and a proactive orientation that anticipates needs before they become requests.
You will manage a complex, fast-moving executive calendar while coordinating meetings, travel, and commitments across multiple time zones and organizational priorities. Beyond calendar management, you are also a communications partner: drafting correspondence, preparing executive summaries, ghostwriting on behalf of the CEO, and synthesizing complex information into clear, actionable briefs that enable sharp decision-making.
You will serve as a key liaison across the organization, coordinating closely with Board members, senior staff, external partners, and key stakeholders. You will support the CEO in preparing for board meetings and high-stakes engagements, manage follow-through on commitments and action items, and ensure that nothing falls through the cracks in a busy, evolving environment. This role also carries meaningful project and research responsibilities, including gathering, synthesizing, and presenting information to support strategic initiatives.
Responsibilities
- Manage the CEO’s complex, fast-moving executive calendar, making judgment calls about what deserves the CEO’s time and sequencing commitments strategically.
- Draft executive correspondence, prepare talking points, and ghostwrite in the CEO’s voice while maintaining their tone, intent, and credibility.
- Synthesize complex information from multiple sources into concise, actionable briefings for the CEO.
- Coordinate with staff across the organization to track follow-through on action items, gather materials for board meetings, and ensure cross-functional commitments are met.
- Serve as a key liaison for Board members, senior staff, external partners, and stakeholders, handling relationships with discretion and professionalism.
- Support the CEO in preparing for board meetings, high-stakes engagements, and strategic initiatives.
- Gather, synthesize, and present information to support executive decision-making and organizational priorities.
- Step into special projects as needed, bringing structure to ambiguity and contributing to the CEO’s effectiveness.
- Manage domestic and international travel logistics (approximately 10–12 trips per year).
Requirements
- Mid-career professional with experience in a high-visibility executive support role, demonstrating maturity, judgment, and discretion.
- Exceptional written communication skills, including drafting executive correspondence, creating concise briefings, and ghostwriting in a senior leader’s voice.
- Proactive and anticipatory mindset—able to identify needs before they become requests and bring solutions rather than just surfacing problems.
- Highly tech-savvy with strong proficiency in productivity tools (e.g., advanced Excel) and the ability to quickly learn new systems.
- Strong information-gathering and synthesis skills—able to distill complex data, meetings, or documents into clear, digestible insights.
- Ability to thrive in ambiguity and change, prioritizing effectively when everything feels urgent and maintaining composure in a fast-paced environment.
- Unwavering discretion, professionalism, and integrity in handling confidential information and representing the executive office.
- Chief of Staff experience or aspirations in that direction is a strong plus.

Pay
The salary range for this position is $65,000–$75,000.
Schedule
This is a remote-friendly role open to U.S.-based professionals nationwide. Domestic and international travel is expected approximately 10 to 12 times per year.
