About the role
This role serves as the CEO's strategic business partner, providing exceptional executive support while coordinating board logistics, office operations, strategic initiatives, and confidential business matters.
Responsibilities
- Manage complex calendars, domestic and international travel, meeting preparation, correspondence, expenses, and follow-up.
- Cook up board meetings, investor schedules, presentation materials, governance documentation, and executive communications.
- Provide light support for vendors, company events, conference rooms, and day-to-day administrative operations.
- Track strategic initiatives, coordinate cross-functional projects, document processes, and improve operational efficiency.
- Manage contracts, DocuSign workflows, confidential files, and administrative documentation.
- Maintain a comprehensive transition guide documenting recurring responsibilities, executive preferences, board cadence, key contacts, vendors, software systems, approval workflows, and other institutional knowledge to ensure continuity.
- Support executive relationship management by thinking strategically about who executives should connect with while traveling and coordinating catch-up meetings.
- Protect executive time by ensuring leaders are well prepared for meetings with key discussion points, relevant materials, and decision-ready questions.
- Research and coordinate the best places to stay, eat, and meet to create seamless and productive travel experiences.
Requirements
- 5+ years of executive support experience, including supporting C-suite executives (or a combination of 3+ years as an Executive Assistant and 2+ years supporting C-suite leaders).
- Experience in a startup or high-growth environment required; public company experience is a plus.
- A highly adaptable, "no task too big or too small" mindset, with the ability to seamlessly handle whatever comes up—including supporting executives during travel and events.
- Proven ability to take ownership, independently solve problems, bring together the right people, and drive work to completion.
- Exceptional reliability, judgment, discretion, and professionalism.
- Strong organizational, project management, and problem-solving skills.
- Proficiency with Google Workspace, Slack, DocuSign, Adobe Acrobat, Ramp, Asana, and AI productivity tools.
