Executive Assistant to Technical Delivery Leader
About the role
The Executive Administrative professional will support the newly launched Technical Delivery Enterprise at Brown and Caldwell. This role offers the opportunity to serve as a member of the Enterprise's leadership team, a trusted executive partner, and a force multiplier for enterprise leadership.
Responsibilities
- Manages competing priorities effectively to ensure smooth business operations.
- Provides comprehensive virtual and in-person support to business executive(s) and leadership team.
- Consistently represents the company, executive(s), team and its values in all interactions.
- Regularly analyzes data, draws insightful conclusions, and makes or supports data-driven decisions.
- Consistently anticipates potential issues and proactively prepares solutions.
- Communicates frequently and with high clarity.
- Sets up and coordinates meetings by prioritizing agenda topics and developing agendas that ensure productive outcomes.
- Coordinates and oversees events, including internal team events, team off-sites, business and operational reviews, and other team meetings, including reviewing contracts, preparing materials, overseeing catering requests and communicating with meeting attendees.
- Occasionally takes on special projects of various complexity and successfully completes them.
- Leverages resources to enable decision-making.
- Manages time effectively, including proactively and efficiently managing schedules and corporate travel, and partners with the executive to optimize their time with members of the executive team, staff and clients.
- Buys and maintains trust with colleagues.
- Takes on and seeks challenging or new activities.
- Executes various additional assignments based on evolving needs.
- Mentors less experienced team members and assists leaders of various levels.
Requirements
- A minimum of 5 years of relevant experience in administrative or executive support roles.
- Prior experience in supporting top executives.
- Prior experience in a role with minimum supervision wherein independent judgement was applied.
- Prior experience in managing multiple tasks in fast-paced environments.
- Experience in managing projects, prioritizing tasks, and working independently.
- Experience in mentoring less experienced team members and assisting leaders of various levels.
Qualifications
- A degree in business administration or related field, or equivalent experience is required.
Skills
- Comprehensive organizational and project management skills to manage special projects.
- Superior communication skills to support communication strategy and coordinate with other professionals.
- Strong ability to efficiently coordinate with other assistants, manage competing priorities, and support business leadership.
- Proven ability to manage special projects and schedules with minimal supervision and strong judgement.
