About the role

The Executive Assistant to the CEO of Robin Hood supports the CEO, Chief of Staff, and Chief Program & Impact Officer by managing complex calendars, preparing correspondence, and representing the executive offices. This role plays a critical part in ensuring the CEO's time is used effectively and efficiently.

Responsibilities

  • Organize complex calendars and schedules, maintaining a daily calendar of meetings and events.
  • Use discretion, confidentiality, and good judgment to handle C-Level matters.
  • Arrange travel and accommodation for executives, prepare expense reports, and track and reconcile expenses.
  • Screen incoming telephone calls, take and deliver accurate messages, and respond to requests by gathering and providing information.
  • Draft and prepare internal and external correspondence on behalf of principals.
  • Manage the CEO's contacts, be responsive to emails/texts/phone calls, including outside of normal business hours, and welcome guests.
  • Represent the company and the Executive in a positive light through great follow-through skills and sound judgment.
  • Conserve the Executive's time by reading, researching, collecting, and analyzing information as needed, in advance.
  • Prepare agendas, briefing materials, and pre-reads for the CEO's key meetings, ensuring all relevant background and materials are assembled in advance.
  • Track action items and commitments arising from meetings and proactively follow up to ensure timely completion.
  • Serve as backup support for Board and Committee logistics (e.g., scheduling and materials preparation).
  • Support special projects as assigned, such as research to inform strategic decisions, editing presentations, and other ad hoc analytical or administrative work.

Qualifications

  • A minimum of 7-10 years of experience supporting C-Level Executives.
  • Strong organizational and time management skills; proven ability to prioritize multiple tasks and meet deadlines.
  • Exceptional interpersonal and communication skills with the ability to build relationships with stakeholders, including staff, board members, external partners, and donors.
  • Strong writing, research, and presentation skills.
  • Strong research and synthesis skills, with the ability to distill information from multiple sources into clear, actionable briefings.
  • Project management experience.
  • An attention to detail is crucial.
  • Ability to function in a high-energy environment and work closely with senior management.
  • Proven ability to handle confidential information with discretion, use judgement, be adaptable to various competing demands, and demonstrate the highest level of client service.
  • Flexibility and patience.
  • Knowledge of MS Office Suite, Salesforce, Notion, Slack, Zoom, Google Workspace, Claude, and ChatGPT.

Each candidate's placement within the range will be based on these factors while ensuring alignment with our commitment to equitable internal pay practices. We also support a healthy work-life balance by providing new hires with 20 days of accrued paid time off. This position is based in New York City and follows a hybrid work schedule. Employees are currently expected to work in the office three days per week, with some teams requiring additional in-office days based on operational needs. Beginning in January 2027, Robin Hood will transition to four days per week in office. The Executive Assistant is expected to be in office whenever the CEO is present.

Salary and Benefits
