Executive Assistant to CEO
About the role
The Person Who Ensures Everything Gets Done — With Excellence
Compensation: $70,000–$100,000 base + performance bonus tied to execution outcomes
Type: Full-time
About PrepVault
PrepVault™ is an emergency preparedness company building the first integrated platform that keeps families and businesses online, supplied, and operational when disasters strike, combining Starlink-powered backup internet, regional disaster response hubs, and managed emergency supply programs across five major US metros.
We are early-stage, founder-led, and growing aggressively.
What This Role Requires
- You are naturally wired for this if:
- When someone tells you "it's done," you verify it — because done means completed, documented, and delivered to standard.
- You manage 25–40 active items simultaneously and nothing falls through — not because you work harder, but because you've built a system that makes dropping things impossible.
- You hold people accountable without drama. You follow up once, twice, five times — professionally, firmly, until the task is verified complete.
- Your written communication is precise, professional, and error-free. Your updates are so clear that no one ever needs to ask "what's the status?"
- You see a loose end and it stays with you until it's resolved. You cannot leave things unfinished.
- You've worked with intense, direct leaders and it made you better — not burned out.
- You change jobs every 6–12 months without clear, strong reasons.
- You wait to be told what to do rather than anticipating what's needed.
- You see yourself as a "big picture person" who delegates details.
- You're uncomfortable being direct with people who haven't completed their work — including people senior to you.
- You've never worked closely with a fast-paced, demanding founder or executive.
Core Responsibilities
- Execution Ownership
- Drive every open item to confirmed completion — across team members, vendors, and partners.
- Prepare concise execution updates — what's done, what's in progress, what's at risk — so leadership has full visibility without asking.
- Catch gaps before deadlines, not after.
- Handle confidential information with absolute discretion.
Requirements
- 2+ years supporting executives, founders, or senior leaders in a high-accountability role — EA, Chief of Staff, Program Manager, or similar.
- Employment stability: 2–3+ years in recent roles with clear upward progression.
- Proven ability to manage 20–40+ active tasks simultaneously without dropping anything.
- Exceptional written communication — clear, concise, error-free.
- Comfortable holding others accountable for deadlines and quality.
- Proficient with Google Workspace, Microsoft Office, and project management tools (Monday.com, Asana, Jira, or similar).
Preferred
- Direct experience supporting a founder or CEO of a high-growth company.
- Background in startups, operations, or technology.
- Experience building execution trackers, dashboards, or accountability systems from scratch.
