About the role
The ideal candidate will excel in a high-pressure environment, coordinating the logistics of the CEO. They should have relevant experience in administrative work, ensuring the CEO’s operations run smoothly.
Responsibilities
- Schedule appointments and maintain and update daily calendar.
- Cook up travel arrangements, prepare itineraries, plan logistics, and submit expense reports.
- Screen all incoming phone calls, inquiries, visitors, and correspondence, and route accordingly.
- Maintain confidentiality of highly sensitive information.
- Manage complex office administrative work requiring the use of independent judgment and initiative.
- Handle all logistics CEO-related interactions, interact with leadership, internally and externally.
- Prioritize emails and respond when necessary.
- Serve as a primary point of contact between the CEO and his team/customers.
- Schedule departmental meetings; assist in the preparation and distribution of meeting agendas and materials.
- Attend meetings and take notes of discussion; prepare the initial draft of minutes and summaries.
- Other duties as assigned.
Requirements
- Bachelor's degree or equivalent experience.
- 7+ years of experience as an Executive Assistant.
- 5+ years of experience supporting functions in a SaaS/tech industry.
- A high attention to details.
- Able to work independently and under pressure.
- Proficiency in Microsoft Office suite (Outlook, Excel, Word, PowerPoint, etc.).
- Ability to prioritize and meet deadlines.
- Keep information confidential.
- Excellent written and verbal communication skills.
- Time-management skills.
- Organization skills.
- Ability to multitask.
- Interpersonal skills.
- Knowledge of CRM systems such as Salesforce is a plus.
- Minimum typing speed of 60 WPM.
