Executive Assistant & Special Projects Manager

This is a high-impact, hybrid role supporting the Executive Leadership Team (ELT) at Parallel. As an Executive Assistant & Special Projects Manager to the Executive Leadership Team (ELT), you will combine executive-level administrative support with strategic project management to drive alignment, operating rigor, and execution across the enterprise.
What You Will Be Doing
- Executive Support to the ELT
- Provide high-level administrative support across ELT members, including calendar management, scheduling, and prioritization of time
- Cook up and prepare materials for key meetings (ELT, Board, Special Committee, cross-functional leadership forums)
- Manage inbound requests and communications, ensuring alignment with enterprise priorities
- Draft, edit, and refine executive communications on behalf of ELT members
- Cook up and prepare complex travel, logistics, and executive-level engagements
- Operating Cadence & Alignment
- Own and drive enterprise operating rhythms, including weekly ELT meetings, monthly business reviews, and quarterly planning cycles (IBP)
- Ensure alignment across functions on priorities, deliverables, and timelines
- Track key initiatives and follow-ups, holding teams accountable to commitments
- Support development of executive-level materials (dashboards, one-pagers, board updates)
- Special Projects & Strategic Initiatives
- Lead and execute cross-functional projects on behalf of the ELT (e.g., organizational transformation, cost optimization, retail performance initiatives)
- Build and manage project plans, timelines, and stakeholder communication
- Identify risks, surface insights, and drive solutions in partnership with functional leaders
- Act as a force multiplier to accelerate execution of priority initiatives
- Communication & Stakeholder Management
- Serve as a central coordination point across ELT members and their teams
- Ensure clear, concise, and timely communication of decisions, priorities, and updates
- Support alignment between enterprise functions and state-level teams
- Maintain a high level of professionalism and confidentiality across all interactions
Experience and Skills You’ll Bring
- Age 21 or over
- High School Diploma or equivalent
- Valid Government-Issued Photo ID
- 5–10+ years of experience in executive support, consulting, business operations, or project management
- Experience supporting multiple senior executives or leadership teams in a fast-paced environment
- Strong business acumen with the ability to understand financial and operational drivers
- Exceptional organizational and time management skills with strong attention to detail
- Proven ability to manage competing priorities and execute with speed and precision
- Advanced proficiency in Microsoft Office (PowerPoint, Excel, Outlook) and collaboration tools
- Experience in highly regulated industries (e.g., cannabis, healthcare, CPG) is a plus
