Executive Assistant School of Medicine
About the Role
The Executive Assistant supports the Executive Associate Dean (EAD) and the Vice Dean for Academic Affairs (VDAA) within the Office of the Dean at Tufts University School of Medicine. The EAD serves as the school's chief administrative officer, providing strategic leadership for planning, operations, finance, workforce, facilities, research support, and institutional priorities. The VDAA provides strategic leadership to advance educational excellence, faculty development, graduate and continuing medical education, and a collaborative academic environment.
Responsibilities
- Manage and prioritize a high volume of meeting requests on complex calendars for the EAD and VDAA.
- Organize and plan logistics for meetings, retreats, events, and initiatives, including travel arrangements.
- Assist executives in managing and prioritizing communications with internal and external constituencies.
- Edit, proofread, and compose slide decks, correspondence, and reports.
- Follow up on action items and participate in or lead assigned projects for the executive's office.
- Proactively manage executives’ schedules, resolve calendar conflicts, and arrange meeting logistics (rooms, AV, etc.).
- Prepare confidential meeting materials, including agendas, minutes, and action item tracking.
- Attend meetings and provide staff support as needed.
- Support presentations through slide preparation, editing, and material creation.
- Manage special projects, including:
- Relationship management of clinical affiliates (tracking visits, collating evaluation data, managing follow-ups).
- Support for new academic programs or administrative initiatives.
- Key projects aligned with the School’s mission, vision, and strategic plan.
Requirements
- Associate's Degree and 5 years of related experience.
- Proven track record of proactively managing complex schedules.
- Superior written and oral communication skills.
- Ability to work with confidential information and data.
- Ability to manage competing priorities in a fast-paced environment.
- Strong project management and problem-solving skills.
- Proficiency with MS Office applications.
- Detail-oriented with excellent organizational and interpersonal skills.
Preferred Qualifications
- Bachelor's Degree.
- 7-10 years of experience in higher education, healthcare, or not-for-profit settings.
- Familiarity with medical schools and/or healthcare organizations.
Pay
Salary range: Minimum $33.65, Midpoint $40.10, Maximum $46.60 per hour. Pay is based on related experience, expertise, and internal equity; new hires can generally expect compensation between the minimum and midpoint of the range.
