About the role
Supports executive in staff capacity by handling a wide variety of situations involving the administrative functions of the office that cannot be brought to the attention of the executive. Interprets requests, helps implement action, and decides whether executive should be notified of important or emergency matters as needed.
Responsibilities
- Manage general administrative activities such as arranging complex domestic and international travel and accommodations, preparing, processing and reviewing expense reports, and arranging logistics and catering for internal meetings on a cost-efficient basis.
- Compose, modify and proofread correspondence, reports or presentations.
- Design and prepare general correspondence, invitation letters, memos, meeting minutes, spreadsheets, presentations, agendas, reports, special projects and other documents in support of departmental operations and objectives.
- Maintain calendar daily for optimum organization and time management. Use discretion, confidentiality, and a detailed knowledge of operations, procedures, and people to support the local team.
- Handle sensitive matters with a high level of confidentiality and discretion, especially decisions directly impacting the operations of the company.
- Coordinate management committee meetings and related administrative needs, including meeting scheduling, logistical planning, preparing and circulating documents, and capturing and chasing action items.
- Represent the team both internally and externally, interfacing with staff at all levels with professionalism.
- Screen incoming telephone calls; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
- In the executive's absence, ensure requests for action or information are relayed to the appropriate staff member.
- Monitor office supplies and order new stationery, furniture, appliances, and electronics as required. Oversee clerical tasks such as sorting, making copies, filing, scheduling meetings, sending invites, and sending mail.
Requirements
- Prefer a Bachelor's Degree in Business Administration, Communication, or a similar field of study.
- Between 3-5 years of experience in an executive assistant position; supporting C-level is a plus.
- Proficiency in Microsoft Office, Visio, and Concur.
Pay
Estimated annual salary range: $70,304 – $78,740 USD. Actual compensation may vary based on skills, qualifications, experience, and work location.
