About the role

A Cambridge-based venture capital firm that invests exclusively in the life sciences space is seeking an Executive Assistant/Project Manager. This role provides high-level support to members of the executive team, manages their business priorities, and leads various projects as needed. The ideal candidate is professional, articulate, and thrives in a collaborative, fast-paced environment.

Responsibilities

  • Provide high-level executive administrative support to assigned senior executives and serve as backup support to other executive assistants during high-volume periods or vacations.
  • Handle confidential and proprietary information with utmost discretion.
  • Proactively manage calendars, schedule and prioritize meetings, resolve conflicts, and maintain efficiency.
  • Coordinate and organize international and domestic travel, including hotel accommodations, car service, and preparation of itineraries/materials.
  • Manage expense reporting in a timely manner.
  • Plan and manage high-level meeting logistics, including preparing and printing materials.
  • Arrange off-site meetings, including venue selection, accommodations, catering, and meeting supplies.
  • Schedule and coordinate numerous weekly and ad-hoc meetings.
  • Act as the point person for visiting executives and corporate investors.
  • Lead ad-hoc projects as requested by the management team.

Requirements

  • Bachelor’s degree.
  • 8+ years of previous administrative experience, with at least 4 years supporting executive-level roles.
  • Thorough knowledge of word processing, centralized file servers, and standard office equipment.
  • Advanced skills in MS Word, Excel, PowerPoint, and Outlook.
  • Strong organizational skills and superior attention to detail.
  • Demonstrated ability to anticipate needs, proactively identify solutions, and work independently or collaboratively to resolve conflicts.
  • Exceptional interpersonal skills, poise, professionalism, and the ability to build relationships with staff and board members.
  • Proven ability to handle confidential information with discretion, adapt to competing demands, and deliver high-level customer/client service.
  • Willingness to assume additional responsibilities and learn new skills.

Pay

$130,000 per year.
