About the role

The Executive Assistant supports the M&A Services Managing Directors in the PEPI practice, reporting to the Operations Director. PEPI is a growing business targeting high growth in the next two to five years.

Responsibilities

  • Support Managing Directors in managing and coordinating their calendars.
  • Handle travel arrangements, including flights, hotels, and ground transportation.
  • Prepare and submit expense reports for Managing Directors using Concur.
  • Ensure timely reconciliation of corporate credit card transactions.
  • Keep the team informed of upcoming commitments and responsibilities, following up as necessary.
  • Accurately record Managing Directors' hours in Agresso for effective financial tracking and resource management.
  • Review and process vendor invoices for timely and accurate payment.
  • Help plan, coordinate, and attend mid-year, year-end, and other internal or client-facing events.
  • Assist with department and operational activities/projects as needed.
  • Support event planning and travel (1-3 times per year).
  • Assist in the recruitment function, including candidate interview scheduling and coordination.
  • Assist in preparing PPT decks and marketing materials for proposals.
  • Support the preparation of PPT decks and marketing materials for proposals, collaborating with relationship management and marketing teams.
  • Support the client invoice and allocation processes.
  • Update the pipeline with current information as requested.

Qualifications

  • Minimum of 10 years' experience as an Executive Assistant or in Business Operations, preferably within consulting or professional services.
  • Bachelor’s Degree preferred in relevant field of study or equivalent experience (Degree in business-related field a plus).
  • Highly proficient in computer and calendaring skills, including Microsoft Office Suite, Concur, & SharePoint.
  • Strong interpersonal and relationship-building skills, with the ability to effectively support multiple executives with diverse working styles.
  • Demonstrates strong written and verbal communication skills with a focus on clarity, thoroughness, follow-through, and confidentiality.
  • Able to work independently and as part of a team in a fast-paced environment.
  • Strong project management and time management skills with a track record of meeting deadlines and working efficiently under pressure.
  • Demonstrated flexibility and a proactive approach to acquiring new knowledge and tackling changing priorities.
  • Flexible to work additional hours as required.
