The Opportunity

In this high-impact role, you will assist the executive team with scheduling meetings, appointments, and travel arrangements. You will prioritize and manage multiple calendars to ensure time efficiency, coordinate internal and external meetings, and serve as a trusted steward of sensitive information. You will also proactively assess executive needs and assist to avoid bottlenections. This hybrid (in-office 2 to 3 days a week) role reports to our President and COO, and may support multiple executive team members.

Executive Support

  • Assist the executive team with scheduling meetings, appointments, and travel arrangements.
  • Prioritize and manage multiple calendars to ensure time efficiency.
  • Cookinate internal and external meetings, ensuring all logistical details are handled.
  • Serve as a trusted steward of sensitive information by ensuring all confidential files and data remain highly organized and secure.
  • Be a point person for administrative projects - assisting with some, delegating tasks with others.

Events Management

  • Collaborate with executive leaders on the planning, organizing, and execution of functional events and off-site meetings.
  • Bring creativity and fun to all TrueCar events - internal and external - to delight customers, investors, and employees.
  • Manage vendor relationships, including negotiation of terms, invoicing, and performance tracking.
  • Work with cross-functional teams to ensure branding, invitations, and agendas are well coordinated and aligned to the event's goals.

Your Expertise

  • Proven experience as an Executive Assistant or Administrative Assistant, Project/Events Manager, or similar role in a fast-paced, tech-focused, high-growth environment.
  • Comfortable with supporting multiple executives with various asks across a leadership team.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Mastery of complex scheduling and calendar management - leveraging technology to optimize and streamline scheduling.
  • An approachable demeanor with excellent written and verbal communication skills.
  • Highly proficient with productivity tools (Google Suite and Slack preferred) and using AI for research, communications, and ideation.
  • Strong vendor management and negotiation skills.
  • Ability to work independently as well as collaboratively in a team environment.
