About the role

Streamlight is seeking a highly sophisticated Executive Assistant/Paralegal to provide dedicated support to our legal department and members of the C-suite. This high-visibility role demands a blend of elite executive administration, rigorous paralegal execution, project management, and professionalism.

Responsibilities

  • Provide broad administrative and paralegal support to executive leadership and the legal department with a focus on Intellectual Property.
  • Run reports and maintain patent and trademark information in Equinox.
  • Update internal patent logs, representative agreements, pricing information, organization charts, and Salesforce sales territory maps.
  • Manage counterfeit claims by researching concerns, communicating with Corsearch, and keeping accurate records.
  • Compile materials for quarterly Trustee meetings and prepare confidential Board of Director and Shareholder meeting materials.
  • Take meeting notes or minutes when needed and draft letters and other correspondence.
  • Coordinate travel arrangements and maintain legal files.
  • Process export licenses and distribute USMCA agreements.
  • Assist with special projects, assignments, and other tasks as they arise.

Requirements

  • Bachelor’s degree or equivalent corporate experience.
  • Minimum of 5 years of dual administrative/legal support experience (private company preferred).
  • Paralegal Certificate or 2 years of paralegal work experience with a focus on IP.
  • Notary Public Certificate or willingness to become a Notary Public.

Skills

  • Excellent computer knowledge and enthusiasm for learning new programs and skills.
  • Strong knowledge of Microsoft Office 365 (e.g., Word, Excel, PowerPoint, Teams), DocuSign, and Equinox IP software.
  • Data and website experience.
  • Ability to multi-task while maintaining disciplined attention to detail and priorities in a changing business environment.
  • Absolute discretion and confidentiality, good judgment, high emotional IQ, and unflappable gatekeeping.
  • Flawless proofreading and ability to work well with people at all levels of the company.
