Executive Assistant, National Programming & Artist Relations

About the role

Administrative assistance with scheduling meetings, expenses, drafting industry facing event and artist program recaps. Reports to SVP of Artist Relations.

Responsibilities

  • Schedules label/management and internal meetings, maintains calendars, coordinates travel arrangements and processes expenses on behalf of National Programming Group and Artist Relations Executives.
  • Carefully prepares and distributes save the dates, label schedules, and artist invites for the Music Summit.
  • Coordinates label presentations and manages the Music Summit.
  • Maintains Artist Relations program trackers including Audio campaigns, AIPs, World Premieres, On the Verge, Takeover Hours, etc.
  • Assembles year-end department impact report.
  • Manages industry contact database on behalf of iHeart.
  • Supports talent asset outreach as needed.
  • Collects assets and distributes across iHeart and partnering platforms to aid in building out creative in support of national programs and events.
  • Provides detailed recaps for labels following content launches and extended marketing plans.
  • Develops artist profile pitches for clients as needed.
  • Aids in preparing weekly updates, newsletters, industry facing recaps.
  • Assists with creating supportive promotional materials for artist campaigns as needed.
  • Calculates valuations for all national contesting, editorial features, and social promotions.
  • Manages On The Verge and Titanium Award processes inclusive of identifying artists to be recognized, submitting requests to have the Awards made, drafting and sending communication on behalf of iHeart team, coordinating messaging across departments (programming, PR, etc).
  • Follows up with each artist’s camp to ensure social support.
  • Assists with original content shoots as needed.
  • Assists with pulling social links around tentpole events.
  • Drafts, distributes, and orchestrates industry VIP invites and fulfillment at Tentpole Events.
  • Represents iHeartRadio National Artist Relations team at local shows and artist showcases.
  • Manages Dept Internship Program.

Requirements

  • Exceptional attention to detail with the ability to manage sensitive information, complex schedules, and high-volume communications with accuracy.
  • Proven ability to multitask and effectively prioritize competing demands in a fast-paced, deadline-driven environment.
  • Strong organizational and project management skills, with the ability to anticipate needs and proactively solve problems.
  • Excellent written and verbal communication skills, with a professional and polished demeanor when interacting with artists, management teams, executives, and external partners.
  • Demonstrated professionalism and poise in working with artists, talent representatives, and senior industry stakeholders.
  • Ability to handle sensitive talent and executive relationships with discretion, diplomacy, and confidentiality.
  • Demonstrated experience supporting senior-level executives, preferably within entertainment, music, media, or a related industry.
  • Strong relationship-building skills and a customer-service mindset, with the ability to work effectively across all levels of an organization.
  • High proficiency in Microsoft 365 (Outlook, Teams, Word, Excel, PowerPoint), Canva and calendar management tools.
  • Ability to adapt quickly to changing priorities and remain calm under pressure.

Qualifications

  • Bachelor's degree or equivalent relevant work experience preferred.
