Executive Assistant (Max $30/hr W2)
This is a full-time, in-office role with a schedule of 9:00 AM to 6:00 PM, Monday through Friday. Remote work is not available.
About the Role
The Executive Assistant will perform a variety of administrative functions requiring confidentiality, initiative, and sound decision-making for the executive and their team. You will provide high-level administrative support, including research, report preparation, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, managing travel arrangements, and scheduling meetings.
This role demands the ability to interact with staff at all levels in a fast-paced environment while remaining flexible, proactive, resourceful, and efficient with a high level of professionalism. Experience developing relationships in a highly matrixed organization and handling administrative and executive support tasks with minimal supervision is essential. You will adapt procedures, processes, and techniques to align with departmental activities and goals.
Responsibilities
- Provide high-level administrative support to executives and their teams.
- Conduct research and prepare reports as needed.
- Handle confidential information requests and clerical tasks, including correspondence preparation.
- Manage visitor reception, conference calls, travel arrangements, and meeting scheduling.
- Interact with staff at all levels in a fast-paced, matrixed organization.
- Adapt procedures and processes to meet departmental goals with minimal supervision.
- Perform calendar management and maintain general office procedures (e.g., filing, expenses).
Requirements
- Minimum of 3 years of experience in an Executive or Administrative Assistant role.
- High school diploma or GED required; Bachelor’s degree preferred.
- Ability to multi-task effectively in a fast-paced environment.
- Strong experience with Microsoft Word, Excel, and PowerPoint, including table creation, mail merges, and basic formatting.
- Knowledge of general office procedures (e.g., filing, correspondence, scheduling, expenses, calendar management).
- Excellent interpersonal skills and professional telephone etiquette.
- Tact, good judgment, and discretion in handling confidential situations.
- Proven experience interacting with senior management.
