About the Role

We are seeking a highly experienced, proactive, and strategic Executive Assistant to support our EVP, Chief Marketing & Content Officer. This role is far more than traditional administrative support. Acting as a trusted partner to the EVP, the Executive Assistant serves as a central point of coordination across multiple departments, helping drive priorities, manage critical initiatives, facilitate communication, and ensure the successful execution of organizational goals.

Responsibilities

  • Serve as a trusted partner to the EVP by proactively managing priorities, anticipating needs, and ensuring efficient use of executive time.
  • Manage a complex and ever-changing executive calendar, balancing business priorities, events, travel, and personal commitments.
  • Coordinate team and other meetings; prepare meeting materials and logistics; arrange travel; process expenses; and create presentations and visual materials.
  • Complete other administrative duties, including copying, scanning, digitally filing, and distributing documents, as required.
  • Work with relevant Leadership Teams to ensure initiatives and projects are on track in terms of timeline and content.
  • Proactively meet with SVPs/VPs within the departments for upcoming months' meeting needs.
  • Provide early warning and follow up when something is going off-track; identify barriers to project completion and help overcome them.
  • Drive accountability across the teams and facilitate effective cross-functional communication.
  • Help establish and improve processes, systems, and workflows that enhance organizational efficiency.
  • Track and follow up on EVP requests and work assignments inside and outside of the team to ensure timely response.
  • Establish an effective daily communication method and cadence for reviewing meeting requests, proposed scheduling, and urgent inbox items.
  • Review the calendar and reach out to meeting schedulers to obtain decks for the EVP a day or two before the meeting for preparation.
  • Maintain the department’s calendar and ensure projects and events are well coordinated and communicated.
  • Coordinate with Operations, Finance, IT, HR, and other administrative departments to ensure smooth integration of departments’ work.
  • Provide leadership and support on recurring events; plan and handle the logistics of EVP team Off-Sites and other events.
  • Provide analytical support, including research, project or situation assessment, data gathering, and reporting; create PowerPoint decks to communicate results.
  • Maintain a regular schedule of skip-level lunches, department-wide team-building events, and individual team gatherings across the EVP’s organization.
  • Coordinate executive participation in conferences, non-profit Board work, industry events, and company-sponsored events; manage all steps and communication to ensure smooth presentations by the EVP.
  • Provide guidance, mentorship, and coordination for administrative staff supporting departments within the EVP’s organization.
  • Interface professionally with Studio Presidents, vendors, and business partners.
  • Handle confidential and sensitive information with the highest degree of professionalism and discretion.

Qualifications

  • Enjoys facilitating the work of a senior leader and derives satisfaction from helping a team run successfully.
  • Anticipates needs, solves problems proactively, and takes ownership without requiring constant direction.
  • Exercises sound judgment, professionalism, and discretion when handling sensitive and confidential information.
  • A resourceful problem solver who thrives in a dynamic, fast-paced environment.
  • Demonstrates superior organizational skills and ability to prioritize and balance multiple tasks in a fast-moving environment.
  • Performs administrative tasks well and adjusts focus between “big picture” strategic work and day-to-day “to dos” with ease.
  • Has the ability to research and analyze material logically and share ideas and recommendations clearly.
  • Demonstrates skill in problem-solving; enjoys a challenge and achieves satisfaction from working things out and getting things done; demonstrates curiosity.
  • A proactive self-starter who anticipates needs, independently plans schedules and projects, and brings thoughtful proposals for discussion rather than waiting for step-by-step direction or solutions from the EVP.
  • Demonstrates superior communication skills, both written and verbal; comfortable interacting with staff at all levels and representing the ideas or position of the EVP clearly and diplomatically, when needed.
  • An idea generator who can think creatively with practical accomplishment in mind; can come to the position with ideas on how to make the Executive Assistant position most successful.
  • Collaborative spirit; enjoys being part of a team.

Requirements

  • 10+ years of administrative or office management experience, including 5+ years’ experience in an Executive Assistant or equivalent role, supporting C-suite or Director-level staff.
  • Experience supporting executives responsible for multiple business functions, departments, or large-scale initiatives.
  • BA/BS degree or equivalent work experience.
  • Superb proficiency in Microsoft Office Suite (PowerPoint, Word, Excel), Teams, and SharePoint; proficiency in Infographics, Vizio, or similar software is useful.
  • Entertainment, Retail, Agency, or Marketing industry experience preferred.
  • Experience coordinating complex meetings and executive travel preferred.
