About the role

This position is responsible for providing administrative support to the Executive Vice President of International Marketing.

Responsibilities

  • Manages executive calendar, proactively prioritizing meetings, anticipating scheduling conflicts, and optimizing time across multiple time zones and global stakeholders.
  • Tracks, organizes, and maintains campaign materials, competitive analyses, case studies, research presentations, and other strategic marketing documents, supporting campaign planning, decision-making, and executive reference.
  • Creates marketing decks and high-quality, visually compelling presentation materials that communicate plans and ideas with clarity, creativity, and strategic impact, incorporating thoughtful design, strong storytelling, and data visualization using PowerPoint and Photoshop, video editing, graphic design, and other visual content creation programs as needed.
  • Creates agendas, meeting minutes, detailed notes, action items, and strategic summaries from creative brainstorms, campaign reviews, and executive meetings, along with follow-up documentation and project trackers that ensure alignment and accountability across multiple teams.
  • Arranges meetings, screenings, conferences, and executive events by coordinating schedules, agendas, meeting logistics, conference rooms, invitations, and presentation materials, and manages international theatrical screening requests, approvals, and distribution while ensuring timely communication with internal and territory teams.
  • Coordinates day-to-day communications and serves as point of contact for internal teams, international territories, agencies, senior leadership, and filmmakers.
  • Processes invoices, manages departmental budgets, and tracks expenditures with detailed accuracy and accountability.
  • Performs administrative responsibilities, including document preparation, filing, correspondence, expense management, and executive support, and coordinates detailed travel, including itineraries, visas, travel documentation, accommodations, transportation, and expense reporting.

Requirements

  • Bachelor’s degree in marketing, advertising, business or related field, preferred.
  • 1+ years of related experience, supporting an executive in marketing or entertainment.
  • Strong social media skills.
  • Highly proficient with MS software including Outlook, Word, Excel & PowerPoint.

  • Outstanding written, verbal, and interpersonal communication skills with the ability to interact confidently with senior executives, filmmakers, creative partners, agencies, and international teams.
  • Strong analytical and research skills with the ability to synthesize information into clear, actionable insights.
  • Excellent judgment, discretion, and professionalism when handling confidential information and executive communications.
  • Familiarity with theatrical marketing, film distribution, or creative campaign development is a plus.
  • Strong problem-solving skills with the confidence to work independently while knowing when to seek guidance.

Pay

Hiring salary range: $50,000.00 - $57,000.00. The hiring salary range for this position applies to New York City, California, Colorado, Washington state, and most other geographies. Starting pay for the successful applicant depends on a variety of job-related factors, including but not limited to geographic location, market demands, experience, training, and education.
