Executive Assistant II

About the Role
Provide proactive executive assistance to the Wealth Management Regional Executive. Perform advanced and diversified administrative duties, including high-level support in managing a high volume of competing priorities in a fast-paced environment. Prioritize and coordinate the Executive’s schedule, align their time and resources with business priorities, and handle various administrative functions to ensure office efficiency. May supervise other administrative assistants.
Responsibilities
- Manage competing priorities in a fast-paced environment.
- Handle calendar management, communication, correspondence, client interactions, expense reports, travel arrangements, and human resource needs, including requisition management and time/attendance tracking.
- Coordinate meetings, video conferencing, and room setup; prepare agendas and meeting materials.
- Plan and execute events with thorough research to ensure high-quality outcomes.
- Review, prioritize, and respond to incoming calls, requests, communications, and documents.
- Take initiative to research, summarize, and resolve matters of reasonable to high complexity with limited direction.
- Exercise judgment, ask clarifying questions, and provide information as appropriate.
- Work independently on routine and complex projects after initial experience.
- Assist with creating reports, meeting outlines, presentations, and participate in network projects or new initiatives.
- Process invoices from contractors, consultants, and vendors accurately and timely.
- Communicate and distribute materials to other business lines and support groups to ensure alignment on critical dates and deliverables.
- Complete special assignments and projects, establishing objectives, setting priorities, managing time, collaborating effectively, monitoring progress, problem-solving, and implementing plans.
- Improve processes and procedures by evaluating current practices and investigating best practices for efficiency and effectiveness.
Requirements
- High school diploma.
- Minimum of five years of administrative experience and/or equivalent business experience.
- Very strong organizational and client service skills.
- Demonstrated attention to detail and ability to prioritize and manage multiple tasks.
- Advanced PC skills, including Outlook, Microsoft Word, Excel, and PowerPoint.
- Excellent verbal and written communication skills; ability to work in a team environment.
- Demonstrated ability to follow through on assignments, solve problems, and make decisions.
- Adept at interacting with senior executives; proactive in providing assistance.
- Flexible, adaptable, and willing to embrace change.
- Maintain strict confidentiality of documents and information.
Preferred Qualifications
- Undergraduate degree.
- Financial services experience.
- Takes initiative and works independently on routine and complex matters.
Pay
This position is eligible to earn a base hourly rate in the range of $27.40 - $41.83 per hour. Placement within the pay range may differ based on skills, experience, and geographic location. Compensation may also include incentive pay such as production, commission, and/or discretionary incentives.
