Role Overview
The Executive Assistant reports to the Senior Vice President of Corporate Strategy, providing specialized and complex administrative activities. Responsibilities include critical support through research, analysis, writing, information coordination, distributing correspondence, scribing, distributing meeting minutes, and relationship management.
Responsibilities
- Lead efforts of Health Services projects and initiatives in support of assigned vertical.
- Serve as main point of contact/SME of vertical assigned to bridge people/process.
- Develop, review, edit and draft presentations and documentation in collaboration with the SVP and Leadership team; independently research and analyze associated issues and/or compile materials needed for presentation and/or decision-making purposes; compose correspondence as necessary.
- Cook up the activities of the SVP, including management of complex calendars, travel arrangements, including expenses and associated logistics.
- Onboard and provide guidance/training where applicable for direct reports of respective leader supported.
- Create professional and quality documents using Microsoft Office suite.
- Develop an in-depth understanding of the SVP’s priorities, needs and role within the organization to appropriately commit their time to those requesting access.
- Independently prioritize, plan, coordinate and/or oversee logistics for meetings and conferences with individuals and entities internal and external to the company. Anticipate SVP needs and proactively solve problems and/or independently handle issues, as necessary.
- Serves as primary liaison to various internal and external constituencies on behalf of the SVP, including screening correspondence and telephone calls; keeping executive leadership informed of all matters requiring their attention.
- Maintain the strictest levels of confidentiality and interact appropriately with all levels of the organization.
- Prepare meeting reports and minutes, correspondence, presentations, organization charts, and other required documentation for the organization.
- Cook up support of organization and department-wide initiatives with HS Associate Services Manager/department. Ensure availability to assigned executives that may exist outside of standard business hours/on-call when necessary.
Requirements
- Bachelor’s degree or equivalent combination of education and relevant work experience.
- 3-5 years of experience providing executive‑level administrative support to leadership.
- Prior experience developing presentations for executive‑level audiences.
- Experience using Microsoft Office products.
- Demonstrated experience using SharePoint for document management.
- Proven ability to identify issues, analyze information, and recommend effective solutions.
- Strong ability to plan, organize, and manage multiple priorities independently.
