About the role
The Executive Assistant I supports a Vice President or Chair in managing the day-to-day operations of a large or complex department or office. They coordinate administrative activities, manage budgets, and assist with various organizational tasks.
Responsibilities
- Promotes projects, goals, and objectives by planning, scheduling, coordinating, and reporting activities.
- Researches, locates, and compiles information for reports and prepares statistical reports.
- Maintains budgets and grant allocations, and monitors accruals.
- Prepares documents for account review and approval.
- Maintains employee files and ensures compliance with regulatory standards.
- Initiates and follows through on human resources and payroll transactions, including generating weekly payroll submissions.
- Maintains liaison with human resources and payroll to resolve issues and problems.
- Mentors, trains, and conducts orientation for new office support staff.
- Schedules and coordinates administrative, secretarial, and general office support coverage.
- Coordinates meetings and appointments, maintains supervisor’s calendar, makes travel arrangements, and prepares travel reimbursements and expense reports.
- Screens and prioritizes incoming mail, responds to inquiries, and distributes mail requiring attention.
- Screens and routes telephone calls, answers questions, and directs callers to appropriate individuals.
- Aids in grant applications, special projects, and Joint Commission and other survey preparations.
- Performs other related duties as assigned.
Qualifications
- Bachelor’s degree or equivalent combination of experience and education.
- 5 years related administrative or business experience.
