About the role

The Executive Assistant I supports a Vice President or Chair in managing the day-to-day operations of a large or complex department or office. This role coordinates administrative activities, prepares reports, monitors budgets, and assists with various organizational tasks.

Responsibilities

  • Promotes projects, goals, and objectives by planning, scheduling, coordinating, and reporting activities.
  • Researches, locates, and compiles information for reports and assembles figures for computations and calculations.
  • Maintains departmental employee files and ensures compliance with regulatory standards.
  • Manages human resources and payroll transactions, including generating weekly payroll submissions and resolving issues.
  • Mentors, trains, and conducts orientation for new office support staff and monitors their performance.
  • Schedules meetings, appointments, and travel arrangements, and maintains the supervisor’s calendar.
  • Coordinates logistics for events, develops informational packets, and transcribes and distributes meeting minutes.
  • Develops, updates, and revises informational materials and ensures adequate restocking of supplies.
  • Collaborates with purchasing to secure supplies and tracks vendor contracts.
  • Assists in grant applications, special projects, and Joint Commission and other survey preparations.

Requirements

  • Bachelor's degree or equivalent combination of experience and education.
  • 5 years of related administrative or business experience.

Qualifications

  • Strong organizational and administrative skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in Microsoft Office Suite.
  • Ability to manage multiple priorities and meet deadlines.
  • Knowledge of regulatory requirements and compliance.
