About the role
The Executive Assistant I supports a Vice President or Chair in managing the day-to-day operations of a large or complex department or office. This role coordinates administrative activities, prepares reports, monitors budgets, and assists with various organizational tasks.
Responsibilities
- Promotes projects, goals, and objectives by planning, scheduling, coordinating, and reporting activities.
- Researches, locates, and compiles information for reports and assembles figures for computations and calculations.
- Maintains departmental employee files and ensures compliance with regulatory standards.
- Manages human resources and payroll transactions, including generating weekly payroll submissions and resolving issues.
- Mentors, trains, and conducts orientation for new office support staff and monitors their performance.
- Schedules meetings, appointments, and travel arrangements, and maintains the supervisor’s calendar.
- Coordinates logistics for events, develops informational packets, and transcribes and distributes meeting minutes.
- Develops, updates, and revises informational materials and ensures adequate restocking of supplies.
- Collaborates with purchasing to secure supplies and tracks vendor contracts.
- Assists in grant applications, special projects, and Joint Commission and other survey preparations.
Requirements
- Bachelor's degree or equivalent combination of experience and education.
- 5 years of related administrative or business experience.
Qualifications
- Strong organizational and administrative skills.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office Suite.
- Ability to manage multiple priorities and meet deadlines.
- Knowledge of regulatory requirements and compliance.
