About the role
The Hybrid Executive Assistant to the Senior Leadership conserves their time and promotes the corporate image by representing them internally and externally, acting as liaison between the Senior Leadership, key executives, board members and employees.
Responsibilities
- Welcome visitors, review correspondence, arrange company dinners and other corporate functions, answer questions and meet requests directed to them.
- Arrange corporate travel and meetings by developing itineraries and agendas, booking air/ground transportation, arranging lodging and meeting accommodations.
- Complete projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, adjusting plans.
- Update job knowledge by participating in educational opportunities, reading professional publications, maintaining personal networks, participating in professional organizations.
- Improve quality results by studying, evaluating, and redesigning processes, implementing changes.
- Act as meeting recorder, summarizing action items precisely and following up on them.
- Promote and lead Process Improvement.
- Enhance President's and Corporation's reputation by accepting ownership for accomplishing new and different requests; exploring opportunities to add value to job accomplishments.
- Provide superior quality outcomes by taking ownership of administrative services to ensure quality work.
- Handle more complex administrative duties including intricate calendaring and travel arrangements.
- Conduct research to assist Senior Leaders with inquiries or issues.
Requirements
- Minimum 5-8 years related experience.
- High school diploma required, bachelor's or associate degree preferred.
- Excellent communication skills; advanced administrative writing skills.
- Excellent customer relations and organizational skills as well as excellent understanding of office practices and procedures.
- Advanced knowledge of Microsoft Office Products including Excel and PowerPoint.
- Presentation Skills.
- Task-oriented with an excellent sense of priority, logic, objectivity and confidentiality.
- Thrives in fast-paced, start-up environment.
- Demonstrate a significant ability for discretion and confidentiality in the handling of sensitive issues, plus have strong organizational and problem-solving skills.
