Executive Assistant (HR Dept)
Join a world-class academic healthcare system, UChicago Medicine, as an Executive Assistant supporting our Human Resources department. This position is on site at our Hyde Park campus in Chicago, IL and requires you to be based in the greater Chicagoland area.
About the role
This role works on various tasks and projects concurrently, prioritizing as dictated by management needs. You will work independently and as part of the administrative support team, managing budgets, developing communications, and administering all office functions related to the executive’s day-to-day operations.
Responsibilities
- Maintains confidentiality of reports, documents, and records including personnel files, staffing and position control records, financial reports, project/proposal reports, financial plans, and operating strategies.
- Maintains regular contact with all levels of management and staff within the Medical Center, University, and Biological Sciences Division by gathering data, relaying messages, and obtaining information.
- Manages and administers a wide range of word processing, spreadsheets, and PowerPoint tasks, often confidential, requiring detailed proofreading and grammatical accuracy.
- Collaborates with all levels of UCMC and BSD leadership, as well as staff, to research issues and work on various projects and committee assignments.
- Manages daily office operations, organizes multiple tasks, and identifies methods to improve daily operations.
- Identifies functional or operational changes for service improvement and drafts written policies/procedures for management review.
- Completes and oversees specially assigned projects with minimal supervision in a timely and efficient manner.
- Coordinates with the department administrative team for regular ordering of supplies, completion of work orders, and other office needs.
Requirements
- High school diploma required; bachelor’s degree preferred.
- Minimum seven years of increasingly responsible administrative or secretarial experience, preferably in a complex healthcare or professional office setting.
- Documented proficiency and advanced skills in a variety of computer software applications, including word processing, spreadsheets, and presentation tools; advanced Microsoft Office Suite skills preferred.
- Strong sense of service orientation in responding to internal and external customer needs.
- Ability to independently and professionally interact with customers, both internal and external.
- Strong written, verbal, and interpersonal communication skills.
- Ability to plan, organize, and work on various tasks concurrently.
- Ability to independently prioritize multiple tasks in a professional manner.
- Analytical ability to track revenue/expenses and manage multiple projects simultaneously.
Pay
The pay range provided reflects the anticipated wage or salary reasonably expected for this position, based on a full-time equivalent (1.0 FTE) and current market data. Compensation at hire will vary based on candidate qualifications, experience, and organizational considerations, such as internal equity.
