About the role

The Executive Assistant supports the CEO in maintaining the efficiency of hospital operations and assists in carrying out executive operations and day-to-day functions.

Responsibilities

  • Communicates information effectively throughout the respective hospital/division.
  • Informs management of important events, matters requiring immediate response, and pertinent issues arising from the course of business.
  • Exercises sound judgment in directing/initially responding to employees, patients, visitors, and external customers.
  • Prioritizes plans and arranges for the timely completion of tasks and assignments.
  • Establishes effective systems for information filing and retrieval.
  • Continually examines administrative efficiencies and initiates improved solutions.
  • Utilizes proper discretion and maintains complete confidentiality related to sensitive employee and patient issues.
  • Performs administrative assignments related to the office of the CEO, including coordination of the CEO’s calendar, expense reports, and monthly timesheets.
  • Affords support in problem-solving routine matters in conjunction with the CEO.
  • Typing of correspondence, memoranda, reports, and records, as requested.
  • Preparation of computer spreadsheets/reports as necessary.
  • Initiation of correspondence or predetermined management reports for the CEO.
  • Response to telephone inquiries and direction of parties as appropriate.
  • Reception of visitors/guests of the CEO in a professional and courteous manner.
  • Initiation and development of predetermined management reports as well as special projects for the CEO.
  • Coordination of the investigation and resolution of routine patient complaints by the hospital management team, ensuring proper documentation, and coordinating tracking and trending of patient complaints, with the Legal Department related to the generation of complaint response letters.
  • Assumption of responsibility for the incident reporting process.
  • Review of incident reports, ensuring reports are completed in their entirety, and follow-up with managers as appropriate.
  • Reporting of urgent issues to the CEO and Select Medical Risk Manager.
  • Recording of incident reports via application software.
  • Filing and maintenance of records for future reference.
  • Attendance at administrative and committee meetings; recording of minutes, summarizing, transcribing, and distribution of minutes to all appropriate parties.
  • Preparation and mailing of various meeting packets and reports related to the respective hospital.
  • Delivery of meeting reminder notifications to appropriate staff.
  • Maintenance of administrative files that are accurate, orderly, and filed in a timely manner.
  • Maintenance and distribution of petty cash for the hospital as requested.
  • Performance of other duties as requested.

Requirements

  • High School diploma or equivalent required.
  • Proficiency in various computer applications/programs is required.
  • Previous experience in an administrative role is required.

Qualifications

  • Associate's degree or additional coursework/related certificates preferred.

Skills

  • Excellent communication skills.
  • Strong organizational and time management skills.
  • Ability to handle confidential information with discretion.
  • Proficiency in Microsoft Office Suite.

Pay

$53,000 - 75,000 per year (Based on Experience)

Schedule

Full-Time, 8:30am - 4:30pm (Monday - Friday)
