The Role
We're seeking a seasoned Executive Assistant to serve as a trusted partner to our Senior Vice President and Industrial Market Leader. This is a high-impact role that goes beyond traditional administrative support — you'll operate as an extension of senior leadership, anticipating needs, managing competing priorities, and ensuring the SVP's time and attention are focused where they matter most. The ideal candidate brings executive presence, sound judgment, and a proactive mindset. This is an on-site position, with the flexibility to work remotely 1–2 days per week after completing training.
What you will accomplish
- Serve as a strategic partner to the SVP, managing a complex and dynamic calendar with a high degree of discretion and foresight.
- Act as the primary point of contact between the SVP and internal leaders, clients, and external stakeholders - representing leadership with professionalism at all times.
- Anticipate needs and remove obstacles before they reach the SVP's desk.
- Manage all executive communications, including drafting, filtering, and prioritizing correspondence on behalf of the SVP.
- Cook up sophisticated domestic and international travel logistics, including detailed itineraries and contingency planning.
- Lead meeting preparation and follow-through - briefing materials, agendas, action item tracking, and post-meeting summaries.
- Manage monthly expense reporting and budget reconciliation in Concur.
- Oversee visitor and guest logistics, ensuring a seamless executive-level experience.
Qualifications
- 5+ years of experience supporting C-suite or senior executive leaders in a fast-paced environment.
- Demonstrated ability to exercise independent judgment and operate with minimal direction.
- Expert-level proficiency in Microsoft Office Suite and expense management platforms, including Concur.
- Exceptional written and verbal communication skills, with the ability to draft executive-level correspondence.
- Strong emotional intelligence and the ability to build trusted relationships across all levels of the organization.
- Highly organized with the ability to manage multiple high-priority initiatives simultaneously without losing attention to detail.
- Willingness to serve as a resource and mentor to broader administrative staff.
- Experience in the construction, engineering, or professional services industry is a plus, but not required.
