Executive Assistant, Finance
About the role
The Executive Assistant provides professional support to the Chief Financial Officer, including project management and administrative responsibilities. This role requires independently setting up and managing office and administration functions with a proactive, solution-oriented mindset and a focus on continuous improvement. Timeliness and execution of tasks and deliverables are critical.
Responsibilities
- Provide administrative services to the CFO and their team of direct reports
- Coordinate with the CFO and leadership group on special projects, assignments, and company events
- Support projects aligned with corporate goals and objectives
- Manage day-to-day operations, including schedules, correspondence, email, phones, purchase requests, travel arrangements, and presentations
- Schedule appointments, conference calls, and coordinate meeting arrangements
- Support event planning as requested
- Prepare various reports
- Order and maintain supplies
- Organize office/desk moves for the department
- Prepare and process routine forms, documents, correspondence, expense reports, requisitions, and purchase orders following standard procedures
- Organize and maintain file systems, including highly confidential records requiring discretion
- Work collaboratively to achieve goals and complete assigned tasks
Requirements
- High school diploma or general education degree (GED)
- Highly organized, detail-oriented, and able to handle multiple priorities in a fast-paced environment
- High degree of personal and professional integrity, with the ability to handle confidential information
- Self-directed, with the ability to take ownership and complete projects in a timely manner
- Strong oral and written communication skills, with the ability to interact effectively with senior management and employees
- Ability to work without close supervision and maintain confidentiality
- Proficient in Microsoft Office (Excel, Word, PowerPoint, Outlook); knowledge of Zoom, MS Teams, SharePoint, and Adobe PDF is a plus
- Experience preparing expense and reimbursement reports
- Ability to quickly adapt to new technologies
- Strong knowledge of proper letter formats, grammar, spelling, and language usage
- Ability to produce neat, accurate correspondence
- Project management skills are highly desirable
- Ability to perform administrative duties with a high degree of accuracy, confidentiality, discretion, and independent judgment
- Excellent interpersonal skills and ability to work collaboratively as a team player
- Ability to work with all levels of management
- Willingness to adjust thinking and behavior
- Ability to communicate in a timely, respectful, and open manner
Preferred Qualifications
- Minimum of 10 years’ experience in an administrative support role, preferably for a C-suite executive
- Prior experience providing high-level support to Boards and Committees
- Experience with electronic board portals (e.g., Diligent)
- Notary certificate
Pay
The annual U.S. base salary range for this full-time position is $81,650.00–$124,600.00. The base pay offered will vary based on job-related knowledge, skills, location, and experience, and will take internal equity into account. Additional forms of pay, such as bonuses or long-term incentives, may be provided as part of the compensation package.

Export Requirements
