Executive Assistant - Fargo
About the Role
The Executive Assistant will provide first-class and comprehensive administrative support to the Executive Leader, coordinating day-to-day activities, managing administrative needs, ensuring timely flow of information, and facilitating communication. This role acts as a gatekeeper to manage schedules, availability, and time while partnering with the Executive Leader to gather and analyze information for meeting preparation and project updates. The position requires discretion, sound judgment, and a thorough knowledge of organizational functions, people, programs, and projects. The Executive Assistant will work with diverse stakeholders on sensitive or confidential tasks and focus on delivering exceptional customer service to residents, tenants, client-owners, investors, and team members.
Responsibilities
- Coordinate day-to-day activities and manage the designated Executive Leader’s needs, ensuring timely flow of information and communication.
- Anticipate and execute on the demands of the Executive Leader, managing schedules, availability, and prioritization of conflicting needs.
- Handle tasks expeditiously and proactively, following through to successful completion, often under deadline pressures.
- Organize and prioritize tasks independently, using sound judgment to ensure efficiency.
- Monitor email communication for the Executive Leader by reading, researching, and routing correspondence appropriately.
- Perform expense reconciliation for the designated Executive Leader.
- Gather and conduct preliminary analysis of information from multiple stakeholders to assist in meeting preparation and provide progress updates on projects and strategic initiatives.
- Work with internal and external stakeholders on tasks of a sensitive or confidential nature.
- Compose, compile, and proofread written communication, presentations, and reports (ad hoc and recurring) for the Executive Leader to ensure accuracy and completeness.
- Schedule, prioritize, initiate, and provide logistical support for conference, video, and in-person meetings and events.
- Provide assistance on projects and initiatives, including gathering information, conducting preliminary analysis, maintaining reports, and ensuring projects stay on track.
- Coordinate travel arrangements, including car, air, lodging, meal, and meeting logistics.
- Act as Project Manager for special projects as assigned by the Executive Leader.
- Provide investor-related support during busy times as requested by the Investor Relations department.
- Create goals, processes, and habits to support personal growth and development.
Requirements
- High School Diploma or GED required.
- Minimum 5 years of related work experience in a fast-paced, high-pressured environment, or equivalent combination of education and experience.
- Minimum of 3 years in an Administrative Assistant capacity, reporting to director level or above.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams, OneNote, SharePoint, etc.), Internet, and Social Media platforms (Facebook, Instagram, etc.).
- Associate degree in Business or Communications field preferred.
- Notary Public for the state of North Dakota or ability to obtain within 6 months of hire.

Pay
Starting pay $25.00 per hour (and more based on relevant experience).
Schedule
This role is located in-office at our Fargo, ND Home Office and is required to work Monday through Friday, 8:00 AM – 5:00 PM.
