About the role

The Executive Assistant enhances effectiveness by providing advanced information management, administrative, and organizational support at an executive or high-level management level. This role handles a wide range of complex administrative tasks with minimal supervision, interacting with staff at all levels in a fast-paced environment. Responsibilities include preparing reports, managing communications, coordinating meetings, and assisting with special projects while maintaining a high level of professionalism and confidentiality.

Responsibilities

  • Develop and distribute reports, collect and analyze information, and prepare presentation materials, including multi-media applications.
  • Organize written and verbal communication, draft letters and documents, take meeting minutes, and oversee recordkeeping and filing.
  • Effectively communicate announcements to the division and executive leadership.
  • Make travel arrangements, manage calendars, and prioritize meeting requests for an orderly schedule.
  • Interface with other leaders, stakeholders, and vendors for business overviews, presentations, and onsite visits.
  • Conduct special projects and assist with business unit-specific tasks, including organizing team and culture-building events.
  • Maintain office supplies inventory by checking stock, anticipating needs, evaluating new products, placing orders, and verifying receipt.
  • Perform additional duties and special projects as required.
  • Adhere to regulatory and compliance policies, complete required compliance trainings, and maintain compliance with applicable laws.

Requirements

  • High School diploma or equivalent (GED, HiSET, TASC, or foreign equivalent) required.
  • Minimum of 2 years of professional experience relevant to the assigned area preferred.

Qualifications

  • Knowledge of standard office practices and procedures.
  • Excellent written and verbal communication skills with the ability to maintain confidential information.
  • Proficiency in Email, Excel, Word, Adobe, Visio, PowerPoint, or equivalent presentation software.
  • Proven analytical skills to gather and summarize data, find solutions, and prioritize work.
  • Demonstrated interpersonal skills to handle sensitive and confidential matters.
  • Excellent customer service skills and solid typing/data entry abilities.
  • Self-starter with the ability to work independently, multi-task, and thrive under pressure in a time-constrained environment.
  • Ability to use independent judgment to plan, prioritize, and organize a diversified workload for executive management.
  • Ability to compose and respond to moderately complex correspondence.
  • Team player with the ability to create structure amidst leadership teams with different working styles.
  • Ability to work overtime if business needs require.
  • Strong ability to build and maintain effective relationships with stakeholders through clear communication and proactive collaboration.
  • Aligns relationship-building efforts with enterprise goals to drive strategic results.
  • Builds trusted client relationships (internal or external) by identifying needs and delivering tailored solutions.
  • Fosters or supports a positive work culture and productive environment.

Pay

Pay Range: $25.07 - $42.66 per hour.
