Key Responsibilities

  • Manage complex calendars for senior leaders, scheduling meetings, coordinating availability, and ensuring alignment across multiple teams and stakeholders.
  • Organize and coordinate onsite and offsite meetings, including scheduling, preparing agendas, arranging catering, coordinating vendors, and distributing meeting materials and minutes.
  • Cook up travel arrangements and manage expense reporting processes in accordance with company policies.
  • Serve as a key communication liaison between executives, their direct reports, and internal partners. Maintain professional interactions with leadership-level stakeholders.
  • Assist with moderately complex projects and initiatives by conducting research, compiling data, and preparing reports or presentations for leadership review.
  • Draft and distribute correspondence, meeting agendas, and documentation. Maintain organized records and ensure materials are properly filed and accessible.
  • Identify urgent matters, prioritize requests, and escalate issues appropriately while maintaining a high level of discretion and professionalism.
  • May serve as a support lead by coordinating activities across administrative staff and ensuring tasks are completed effectively.
  • Assist with communicating policies, standards, and operational processes across the business function while supporting implementation of internal initiatives.

Qualifications

  • Strong experience managing executive calendars and coordinating complex meeting schedules.
  • Experience organizing meetings, coordinating vendors, and managing logistics for onsite and offsite events.
  • Experience coordinating travel arrangements and managing expense reporting.
  • Strong proficiency with Microsoft Office Suite, particularly Excel and Word.
  • Excellent organizational skills with the ability to manage multiple priorities simultaneously.
  • Strong written and verbal communication skills and ability to interact professionally with senior leadership.
  • Ability to work independently while exercising sound judgment and discretion.
  • Bachelor’s degree required.
  • PREFERRED: Experience supporting multiple teams or executives simultaneously, experience working in a fast-paced corporate or financial services environment, demonstrated ability to multitask across competing priorities and deadlines, experience supporting strategic projects or administrative operational initiatives.
