This is a great opportunity for an experienced administrator to join Menarini-Stemline and provide high-level administration and project support for both the VP Clinical Development and the VP Medical Affairs (Solid Tumors). This role requires a highly effective collaborator who can work autonomously.
Responsibilities
- Partners with Finance and Procurement to manage purchase orders and invoices for Clinical Development and Medical Affairs related activities
- Partners with Legal and R&D to manage contracts, CDAs, NDAs and invoices for Clinical Development and Medical Affairs related activities
- Develops and manages various team collaboration sites and files
- Oversees calendar and travel management (domestic and international)
- Works closely with Human Resources to coordinate and schedule onboarding introductory meetings, trainings, etc.
- Acts as a key contact both internally and externally
- Manages group/company access to subscriptions & licenses to various information repositories, periodicals, databases, and software
- Appropriately manages information of a highly confidential and critical nature
- Arranges and provides support for internal/external meetings including team meetings, trainings, congresses
- Takes the lead with coordinating group meetings and events, including agenda management, selection and management of venues and vendors to ensure seamless execution of events and presentations
- Prepares materials for meetings, seminars, presentations, and special projects, often interfacing with key external stakeholders
- Provides additional support as needed to the team, depending on prioritization and bandwidth such as ordering supplies and materials
- Performs other duties as assigned
Qualifications
- 7-10 years of relevant Executive Assistant experience; and within Biotech/pharmaceutical industry preferred
- Outstanding written and verbal communication skills
- Attention to detail
- Experience working with travel software such as Concur a plus
- High-level working knowledge of Microsoft Office Applications (PowerPoint, Excel, Word) and Google Workspace
- Experience working within a Global Organization
- High integrity and demonstrated ability to treat confidential information with discretion
- Strong organizational and prioritization skills
- Proven collaborative team-player and pro-active self-starter
- Ability to exercise good judgement, be forward thinking, and remain solution-oriented across a variety of situations
- Ability to operate under tight deadlines in a multi-task role, with changing priorities in an exciting, rapidly growing company
Please note: this position is classified as a corporate office position. In accordance with the New York employer convenience rule, Stemline will withhold New York state income taxes for all corporate office employees, regardless of whether these employees work in New York or remotely.
Pay
Base Salary Range of $115,500-$138,000.
