Hybrid$100k–$120k/yrFull-time
About the role
National Council on Aging is looking for an Executive Assistant to the CEO. This is the seat closest to the decision-making, where you will run the CEO’s calendar, serve as the primary point of contact for the Office of the CEO, and act as the connective tissue between the CEO, the Board of Directors, the Executive Team, staff, donors, partners, and national stakeholders.
Responsibilities
- Own the CEO’s calendar and protect their focus by triaging requests, resolving conflicts, and making decisions on their behalf.
- Serve as the Board’s primary point of contact: coordinate meeting schedules and logistics, build and distribute Board books and agendas, record minutes, and produce governance records on time.
- Power the Executive Office by monitoring and triaging the CEO’s correspondence and drafting communications on their behalf.
- Build the weekly executive briefing package, prepare agendas, background documents, presentations, and talking points, and track follow-up until closure.
- Stay two steps ahead of every trip and event by managing all aspects of monthly domestic travel—transportation, itineraries, and expense reporting—and ensuring the CEO is in the right room at the right time.
- Coordinate across the organization by running logistics for Executive Team meetings, All Staff meetings, and retreats, and supporting cross-functional projects and process improvements.
Requirements
- 5+ years supporting a CEO, Executive Director, President, or comparable senior-most executive.
- Direct Board of Directors experience—governance, Board books, agendas, and minutes.
- A track record of drafting correspondence, briefings, and talking points on behalf of leadership.
- Exceptional judgment and the confidence to make decisions and inform rather than wait for direction.
- Absolute discretion when handling confidential and sensitive information.
- Precision under pressure and the calm to manage competing priorities without dropping detail.
- Direct, efficient communication—getting to the point and comfortable with a leader who does the same.
- Coachability and comfort with accountability and candid feedback.
- Advanced Microsoft 365 skills (Outlook, Word, Excel, PowerPoint, Teams) and an appetite for using AI tools to work smarter.
- Bachelor’s degree or an equivalent combination of education and experience.
