About the role
The Executive Assistant (EA) supports the Executive Vice President (EVP) of rand* construction corporation, a woman-owned national commercial contractor. rand* has been voted a Top Workplace for 15 consecutive years and is known for its award-winning projects for successful companies.
Responsibilities
- Coordinate and manage scheduling of executive calendars to include meetings, appointments, speaking engagements, and travel
- Ensure the utmost confidentiality in all matters
- Coordinate with directors/office leaders for reporting activities and general administrative affairs
- Serve as a back-up to administrative staff if needed
- Organize and prepare for meetings, including gathering documents and attending to logistics of meetings
- Answer and respond to phone calls, communicate messages and information to executives
- Cover travel arrangements
- Schedule meetings to include external events
- Maintain various documents for executives
- Provide coordination, monitoring, and communication of projects and programs as it pertains to the EVP
- Create a record keeping system to be used over multi-generational period
- Determine priority of matters for the EVP and handle matters as appropriate
- Manage administrative tasks including printing, mail, email, etc.
- Prepare, reconcile, and submit expense reports
- Aid in the development of presentations and spreadsheets for internal and external audiences
- Assist in coordination and logistics of company and employee events
- Aid other department heads with EVP approval as needed
Requirements
- Bachelor’s degree preferred or 4 years of related work experience
- A minimum of 3 years of administrative experience
- Detail oriented, self-starter with prior experience supporting senior leadership/executive roles
- Exhibits sound judgment and the ability to prioritize and make decisions
- Energetic and eager to tackle the daily activities
- Resourceful with a “can do” attitude
- Ability to manage up and serve as the “gate keeper” for the EVP
- Excellent attention to detail
- Excellent communications skills, both written and verbal and is comfortable communicating with high-level executives
- Superior time management skills
- Excellent skills utilizing MS Office, with a focus on PowerPoint and Excel
