Position Summary

The Executive Administrative & Development Coordinator serves as a trusted partner to the Executive Director, providing administrative, board, and development support in a manner that reflects Christ-centered leadership, integrity, and stewardship. This role plays a vital part in advancing the ministry’s mission by supporting organizational effectiveness, donor relationships, and governance with excellence and humility.

Key Responsibilities

  • Provide high-level administrative support to the Executive Director, including calendar management, travel coordination, expense reporting, and correspondence.

  • Anticipate needs and priorities to ensure the Executive Director is equipped to lead effectively.

  • Assist with ministry initiatives, strategic projects, and special assignments as directed.

  • Support the Executive Director in all board communications and coordination.

  • Attend board meetings to accurately record, prepare, and distribute meeting minutes.

  • Carefully coordinate board meeting logistics, schedules, and preparation of materials.

  • Manage and support major donor relationships with professionalism, gratitude, and Christ-like care.

  • Coordinate donor meetings, presentations, and communications for the Executive Director.

  • Aid in planning and execution of donor cultivation events and ministry development initiatives.

  • Process and deposit donations with accuracy, confidentiality, and accountability.

  • Maintain donor management systems and records in alignment with ministry standards and best practices.

  • Proactively and graciously follow up on missed or declined pledges when appropriate.

  • Stay informed on current best practices related to donor stewardship, receipting, and financial compliance.

  • Retrieve, process, and distribute mail from the post office box weekly.

  • Provide administrative and logistical support to ministry events and organizational initiatives as needed.

Professional Qualifications

  • Proven experience in administrative support, nonprofit development, donor relations, or a related field.

  • Strong organizational and time-management skills with the ability to manage multiple priorities effectively.

  • Proficiency in donor management systems, office software, and financial tracking tools.

  • Excellent written and verbal communication skills.

  • High level of discretion, professionalism, and attention to detail.

Knowledge & Skills

  • Education:

    • High School or GED required.

    • Bachelor’s degree preferred.

    • 5+ years of experience supporting executives.

  • Fundraising Responsibilities:

    • All YFC employees are expected to regularly and actively participate in faithful activities that advance the stewardship functions of YFC/USA.

    • These activities will include—but are not limited to—extending invitations to fund raising events, recruiting personal circle of influence/YFC donor contacts, sending letters, handwritten notes, personal calls, and personally ministering to donor contacts.
