Key Responsibilities
- Manage and coordinate executive calendars and scheduling
- Prepare, organize, distribute, and track contracts and signature pages
- Follow up with attorneys and legal teams regarding pending contracts, documentation, and approvals
- Cook up signatures from various parties and ensure timely submission of completed agreements
- Maintain organized records of executed contracts and related documents
- Aid with payroll reporting and other confidential administrative reporting tasks
- Handle sensitive projects and assignments requiring a higher level of discretion and clearance
- Serve as a central point of contact for executive administrative needs
- Organize onsite and offsite meetings
- Provide general administrative and operational support as needed
- Purchase and maintain office and company supplies as needed
- Cook up travel arrangements
Requirements
- Previous experience as an Executive Assistant, Administrative Assistant, or similar role
- Strong organizational skills and attention to detail
- Excellent written and verbal communication skills
- Ability to manage confidential information with professionalism and discretion
- Experience coordinating multiple priorities and meeting deadlines
- Proficiency in Microsoft Office Suite, particularly Outlook, Excel, and Word
- Ability to work independently and follow through on tasks with minimal supervision
- Experience working with contracts, legal documentation, or executive-level support
- Strong follow-up and project coordination abilities
