The Executive Assistant supports several leaders and their associates within the organization. Key responsibilities include:
- Providing a branded, warm-welcoming support for the Suite.
- Maintaining a polished image and business attire.
- Ensuring confidentiality in all interactions.
- Aiding in meeting coordination, including room reservations, audio/video setups, and meal orders.
- Monitoring room devices and collaborating with tech teams to ensure their functionality.
- Managing room calendars and coordinating multiple meeting agendas.
- Drafting and distributing meeting minutes, attending meetings to compose them.
- Collaborating with various business groups to support the Suite, responding to general Office inquiries, sending mass communications, and drafting, editing, and proofreading correspondence and PowerPoint presentations.
- Overseeing daily office operations, ensuring the office is well-supplied, clean, organized, and maintained.
- Creating procedures to support a functional office for the teams, managing mail, supplies, badge access, maintenance requests, and other facility needs.
- Updating internal SharePoint websites for teams.
- Tracking expenses and processing invoice payments, making travel arrangements for executives, and completing expense reports.
- Providing other administrative support as necessary and special projects as assigned.
Qualifications
- 5-7 years of relevant experience.
- Proven experience in recognizing the necessity of adhering to pre-established timetables without compromising on quality.
- Ability to anticipate the needs of leadership by proactively managing complex calendars.
- Highly proficient in Microsoft Suite.
- Background in financial industry a plus.
- High degree of personal integrity to build and maintain trust across senior leadership, internal teams, and external partners.
