Executive Assistant
This position is located in our Fargo, ND office and may require up to 20% travel. MasTec Renewables combines over 20 years of experience in renewable energy construction and is part of the MasTec Clean Energy & Infrastructure business segment, generating over $4 billion in annual revenue.
About the Role
Responsible for providing executive assistance to Senior Vice President, Vice Presidents, and Directors to ensure smooth operation of business. This role requires a significant level of trust, self-discipline, and confidential discretion. Tasks include moderate to advanced clerical duties, maintaining communication with various departments, assisting with scheduling, and representing the department to employees and outside customers.
Responsibilities
- Assist assigned leaders with day-to-day tasks as directed
- Ensure all expense reports, mileage reports, and monthly financials are accurate, timely, and compliant
- Manage or assist in the departmental corporate overhead budget, including timely submission of invoices
- Prepare data for statistical or trend analysis and report compilations as needed
- Identify workplace safety hazards and take corrective action to eliminate or minimize them
- Administer or assist in edits and updates for procedures and manage department SharePoint/Teams pages
- Organize and coordinate meetings, schedule meeting rooms, arrange hotel accommodations, travel, and food
- Capture and distribute detailed meeting minutes as required
- May supervise or mentor other administrative staff
- Other duties as assigned
Qualifications
- Two to four years of college education required
- Two to four years’ equivalent experience as an administrative assistant; experience supporting executive leadership preferred
- EPC, construction, or engineering environment executive office experience preferred
Skills
- Excellent verbal and written communication skills
- Strong experience in Microsoft Word, Excel, PowerPoint, Outlook, and Internet; ability to learn in-house programs
- Ability to work in a fast-paced, dynamic environment with minimal supervision while maintaining confidentiality
- Ability to multitask, adapt to changing priorities, and resolve issues efficiently
- Strong organizational skills and ability to prioritize tasks and manage deadlines

$66,000 - $90,000 / year, commensurate with experience
