EXECUTIVE ASSISTANT

About the role
The Executive Assistant provides an advanced level of professional, administrative support to the Executive team, ensuring Walton offices operate in an organized, efficient, and professional manner. This role requires discretion in handling confidential, sensitive, and time-sensitive information, as well as leadership skills to collaborate effectively with management and staff to achieve the organization’s strategic goals.
Responsibilities
- Perform highly detailed, professional, and confidential administrative support with minimal supervision.
- Manage complex calendaring and events based on Executive and team priorities, proactively resolving scheduling conflicts.
- Act as the lead coordinator for corporate meetings, including Executive meetings, Due Diligence meetings, board meetings, and corporate events.
- Manage and maintain schedules and contacts for the Executive team.
- Organize and maintain general and confidential soft and hard copy files.
- Open, sort, and distribute incoming correspondence, including emails.
- Draft and send significant correspondence, memos, forms, agendas, spreadsheets, reports, presentations, and other applicable documents.
- Prepare invoices, reports, letters, financial statements, and other highly confidential documents using word processing, spreadsheet, database, and presentation software.
- Act as a gatekeeper to protect the Executive team’s time, ensuring priority projects stay on track.
- Prepare responses to correspondence containing routine inquiries.
- Manage domestic and international travel arrangements for individuals and groups; authorize payment for travel.
- Coordinate workflow by prioritizing deadlines, ensuring discreet handling of all business matters, and taking initiative on administrative requests.
- Assist the Executive team with special projects, including research, data analysis, and other ad hoc tasks.
- Greet and interact with visitors and staff in a courteous and friendly manner to establish positive working relationships.
- Assist with general office management responsibilities as required.
- Perform other duties as assigned.
Requirements
- Must reside in Arizona.
- 5+ years of proven work experience as an Executive Assistant reporting directly to an Executive in a fast-paced office environment.
- Valid passport with the ability to travel within North America and overseas from time to time.
- Ability to maintain confidentiality in handling and processing sensitive information and data.
- Advanced-level knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint), Adobe Acrobat, and comfort learning new applications.
- Ability to work independently with minimal supervision and frequent interruptions, as well as in a team-oriented, open-concept environment.
- Understanding of legal documents such as contracts and agreements.
- Advanced business writing, editing, and proofreading skills.
- Willingness to work flexible and extended hours to support a global workforce in multiple time zones.
- Demonstrated ability to make sound decisions, use initiative, and exercise independent judgment.
