Job Description
Provides high-level administrative support to two Vice Presidents of Publicity, serving as a trusted partner in managing day-to-day priorities and operations.
- Manages complex, ever-shifting calendars for both VPs, including scheduling and coordinating internal and external meetings across multiple time zones.
- Books and manages all executive travel including flights, hotels, ground transportation, and detailed itineraries.
- Processes and reconciles expenses for both VPs in a timely and accurate manner.
- Anticipates executive needs and proactively resolves scheduling conflicts, logistics issues, and competing priorities.
- Supports multiple PR teams with day-to-day operational needs, ensuring seamless coordination across projects and campaigns.
- Compiles and distributes daily press clips, monitoring coverage across broadcast, digital, and print outlets.
- Owes and maintains internal status documents, campaign trackers, and team reports, ensuring information is current and accessible.
- Captures and coordinates logistics for high-profile events, press engagements, and team off-sites including red carpets, junkets, screenings, and conventions such as SXSW, Comic-Con, TCA, and Upfront.
- Acts as a liaison between the VPs and internal stakeholders including content, marketing, social, legal, and corporate communications teams.
- Maintains inbound correspondence and communications on behalf of VPs, prioritizing and routing as appropriate.
- Exercises discretion and sound judgment when handling confidential information, talent relationships, and sensitive executive matters.
Must-Have Qualifications
- Substantial executive assistant experience supporting senior leaders, especially those who can expertly manage complex calendars and competing schedules.
- Advanced proficiency in Outlook Calendar, Microsoft Office, and strong expense management skills are essential.
- Exceptional organizational abilities and attention to detail.
- Professional communication, executive presence, and flexibility for occasional overtime or shifting priorities are critical for success.
Highly Preferred Qualifications
- Entertainment industry experience is a major plus—think publicity, PR, communications, talent agencies, studios, streaming companies, or networks.
- Candidates who have supported multiple executives simultaneously and have coordinated with diverse stakeholders will stand out.
- Familiarity with publicity and media environments, as well as exposure to studio, network, or entertainment-adjacent corporations, is highly valued.
Technical Skills
- Advanced Outlook calendaring is critical, with additional proficiency in Microsoft Office Suite, Google Workspace, and internet research.
- Familiarity with AI tools like ChatGPT, Copilot, or Claude is a plus.
Education
A bachelor’s degree is required, and a master’s in PR/Communications is an impressive bonus.
Stand-Out Factors
- Prior EA experience in entertainment/publicity, supporting multiple executives, and experience at a studio, network, streamer, PR firm, or talent agency will move a resume to the top.
- Demonstrated interest in television, media, communications, or publicity—and a desire to grow into a publicity career path—are highly attractive.
