Executive Assistant
Roles And Responsibilities
Screening, monitoring and filtering emails, drafting correspondence, and often handling sensitive or confidential information with total discretion.
Schedule appointments, and assist in the preparation for meetings with different stakeholders and internal staff.
Track deadlines for various departments and follow up on "action items" to ensure the executive's initiatives stay on track.
Supports the Executive staff directly as the go-to person for all needs, including daily administration, calendar management, travel schedules, project coordination, delivering presentations, answering calls, etc.
Takes accurate minutes of meetings, finalizes them in standardized templates and disseminates to staff.
Completes daily tasks in the community and provides office support as directed by the Executive staff.
Conserves Executive staff team’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
Manages sensitive information with absolute discretion.
Able to manage multiple projects and assist in the preparation of special projects.
Contributes to team effort by accomplishing related results as needed.
Becomes familiar with a variety of True North Recovery’s mission, vision, value in alignment with our practices and procedures.
Carries out administrative duties such as filing, data entry, copying, scanning, etc.
Maintains computer and manual filing systems whereas needed throughout the Executive Office.
Performs job in compliance with applicable laws, True North Recovery’s policies and procedures as well as community and professional standards.
Performs additional duties and responsibilities as assigned.
Qualifications And Education Requirements
High school diploma or equivalent; college degree preferred.
At least 3 years of experience in the field or in a related field, preferred.
Proven administrative or assistant experience.
Knowledge of office management systems and procedures.
Combination of education, experience, accepted.
Employment is contingent upon receipt of a satisfactory state and federal background check.
Must be able to pass alcohol and drug screen.
