About the role
A high-trust, high-visibility Executive Assistant position supporting senior leadership in a well-capitalized, stealth-stage biotechnology company. The successful candidate will bring exceptional executive support experience, calm judgment, and the ability to anticipate needs in a fast-moving environment, playing a key role in helping leadership stay organized, prepared, and effective as the company scales its operations and external engagement.
Responsibilities
- Provide proactive, day-to-day support to one or more C-Suite executives, including complex calendar management, prioritization, and meeting coordination.
- Coordinate domestic and international travel, itineraries, accommodations, and expense processing with a high degree of accuracy and discretion.
- Prepare agendas, briefing materials, meeting logistics, and follow-up notes for internal leadership meetings, cross-functional discussions, and select external interactions.
- Track action items, deadlines, and communications to ensure commitments are completed efficiently and nothing falls through the cracks.
- Support board, investor, and partner-related preparation as needed, while maintaining strict confidentiality and professionalism.
- Partner with internal teams to streamline administrative processes, improve coordination, and support a polished executive office experience.
- Handle sensitive information, ad hoc priorities, and last-minute changes with sound judgment and a solutions-oriented approach.
- Serve as a trusted cultural ambassador who proactively drives day-to-day administrative success and ensures team alignment with the company's core values.
Requirements
- BA/BS plus 5+ years of executive administrative support experience within biotechnology or life sciences.
- Demonstrated ability to support senior leaders with shifting priorities, demanding schedules, and highly confidential information.
- Exceptional organizational skills and attention to detail, with strong written and verbal communication abilities.
- Experience coordinating complex calendars, meetings, travel, expenses, and executive-level logistics with minimal supervision.
- A proactive, resourceful, and calm approach to problem-solving; you anticipate needs and follow through reliably.
- Proficiency with standard office productivity tools and executive support systems; experience with collaboration platforms and expense tools is a plus.

Pay
Annual base salary range is determined by considering multiple factors, including qualifications, relevance of experience, education & credentials, subject-matter expertise, and internal parity.
