About the Role

This position assists the Managing Director and the Executive team with tasks necessary to ensure smooth property operations. Responsibilities include administrative duties, guest interactions, meeting attendance, and facilitating communication across departments. The role serves as a liaison between the Managing Director and hotel departments, guests, clients, and the corporate office.

Responsibilities

  • Provide support to the Managing Director and Executive Team of a 338-room lifestyle boutique hotel with seven food and beverage outlets and 800+ employees.
  • Positively represent the Managing Director and enhance their effectiveness by maintaining relationships with internal teams.
  • Serve as a liaison between the Managing Director and all hotel departments, guests, clients, and the corporate office.
  • Manage and maintain the Managing Director’s and Executive Team’s schedule, appointments, and travel arrangements.
  • Communicate daily activities, allocate time, and coordinate workflow; identify and resolve schedule conflicts.
  • Brief and update the Managing Director and Executive Team on operational issues by attending department meetings.
  • Confirm and update room and restaurant/bar reservations for GAW Capital, GCPH NY OPCP Representatives, the Chairman, Managing Partner, Chief Operating Officer, and building owners; notify Front Office and F&B department heads.
  • Handle office administration, including accounting, office supplies, meeting room requests, showroom requests, and sales gift inventory.
  • Maintain Opera Cloud, Tripleseat, and Envision databases.
  • Assist with PowerPoint/Keynote presentations, estimates, purchase orders, invoice processing, and tracking.
  • Proactively execute tasks required by the Managing Director.
  • Answer and manage incoming calls; greet visitors and guests in the lobby and escort them to appropriate outlets.
  • Partner with the Executive Committee and provide support as an extension of the team.
  • Prepare communications, presentations, and other documents.
  • Process monthly expense reports.
  • Attend daily morning meetings and provide relevant updates on behalf of the Managing Director.
  • Field donation requests for approval and oversee the processing of gift certificates with accounting.
  • Receive and route all internal and external employee/friend and family rate requests.
  • Interact with Executive Assistants across The Standard brand.
  • Liaise with the Sales Coordinator to provide welcome notes and amenities from the Managing Director for VIP guests.
  • Advise Human Resources of the Managing Director’s availability to meet with key candidates.
  • Attend and accompany the Managing Director and Executive Team on weekly walk-throughs of public spaces and guestrooms for quality control initiatives and follow up as necessary.
  • Work with the Executive Team to advise the Managing Director of negative online reviews requiring communication on their behalf.

Requirements

  • Ability to read, comprehend, and carry out instructions according to established procedures.
  • Fluent in English.
  • Strong organizational skills, including multitasking and prioritization.
  • Adherence to uniform, grooming, and personal hygiene standards per SOPs.
  • Punctuality, including adherence to posted schedules and attendance at mandatory meetings.
  • Personal comportment in line with Standard, New York policies, standards, and expectations.
  • Meticulous attention to detail and accuracy.
  • Impeccable discretion and confidentiality.
  • Excellent written and oral communication skills.
  • Strong problem analysis and problem-solving skills.
  • Superb judgment and decision-making ability.
  • Proactive initiative and flexibility.
  • Knowledge of Opera Cloud, Tripleseat, and Envision.

Qualifications

  • 3 years of experience providing professional office support (preferred).
  • Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite and Excel.
  • Knowledge of Opera (preferred but not essential).
  • Knowledge of standard office administrative practices and procedures.

Pay

$30.00 - $35.00 per year.
