About the role
The Executive Assistant will provide high-level administrative and operational support to a Senior Vice President and leadership team. This position plays a critical role in ensuring daily business activities run efficiently while supporting executive priorities, communications, travel coordination, and strategic initiatives.
The ideal candidate is highly organized, proactive, and capable of managing multiple priorities in a fast-paced environment. This individual will work closely with executive leadership and partner with other administrative professionals to support departmental and organizational objectives.
Responsibilities
- Manage complex calendars for senior leadership, coordinating schedules and resolving conflicts
- Coordinate onsite, virtual, and offsite meetings, including room reservations, materials, catering, and logistics
- Arrange domestic and international travel, including flights, accommodations, transportation, and detailed itineraries
- Prepare, review, and submit expense reports while tracking reimbursements and supporting budget activities
- Create, edit, and format professional reports, presentations, correspondence, and business documents
- Organize and maintain documents, files, organizational charts, and collaboration platforms including SharePoint, Teams, and OneDrive
- Support departmental projects by coordinating timelines, resources, and communication among stakeholders
- Serve as a liaison between leadership, internal teams, and external business partners to ensure effective communication
Requirements
- 5+ years of experience supporting executives, senior leaders, or operational leadership teams in an administrative capacity
- Advanced proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, Outlook, and Teams
- Experience coordinating domestic and international travel arrangements and managing complex executive calendars
- Experience preparing expense reports and working with expense management systems; Concur experience preferred
- Strong knowledge of SharePoint, OneDrive, Teams, and digital document management practices
- Ability to manage multiple priorities while maintaining exceptional attention to detail and accuracy
- Excellent written and verbal communication skills with the ability to interact professionally across all levels of the organization
- Strong organizational, problem-solving, collaboration, and time management skills
Preferred Skills
- Experience using Concur for travel and expense management
- Bachelor's degree preferred
- Experience supporting operations, manufacturing, industrial, or corporate leadership teams
- Experience coordinating cross-functional projects and executive-level initiatives

$40-50 per hour
