About the role
Provide comprehensive support to the President and Vice-President of Sales and Supply Chain, serving as liaison to departmental executives and other Global Support Center departments.
Responsibilities
- Provide high-level calendar management, record meeting minutes, and prioritize inquiries/requests while troubleshooting conflicts; make judgment calls and recommendations to ensure smooth day-to-day engagements.
- Develop itineraries and agendas, including scheduling flights, arranging ground transportation, and booking accommodations for the President, Vice-President of Sales and Supply Chain, members of Senior International Leadership, and other company guests.
- Generate special projects assigned by the President, such as compiling weekly IFG updates (financial numbers, milestones, challenges, and actions) to be shared with the President of Latin America and the Caribbean Export.
- Arrange and support important meetings, events, and social gatherings for the Sales department and all associates.
- Support all sales events and customer visits, including tradeshows and internal event travel/entertainment management.
- Produce and distribute daily and weekly reports (e.g., weekly active inventory, daily sales numbers, weekly margins) to the Sales team, sister companies, and all associates.
- Participate in and report on sales meetings with action plans and follow-ups to ensure completion.
- Support the execution of customer-facing programs, such as customer appreciation month and new customer onboarding.
- Other duties as assigned.
Requirements
- Bachelor’s degree or Associate degree (Bachelor’s preferred).
- 4 years’ executive administrative and/or office experience (previous executive-level support preferred).
- Proficient typing skills and proficiency with Microsoft Office programs (Excel, Word, Outlook); advanced Excel skills highly preferred.
- Previous experience with Concur and managing expense reports highly preferred.
- Ability to work with minimal supervision and be self-motivated.
- Strong ability to prioritize and work on multiple projects under high stress.
- Strong planning, organizing, follow-up, and attention to detail.
- Excellent communication skills, adaptability to changing priorities, and problem-solving abilities.
- Fast learner.
- English required; bilingual in Spanish preferred.

- 5% travel required.
