Executive Assistant
About the role
We're a design, construction, and sales studio based in Billings, MT, hiring a full-time Executive Assistant to support our CEO and Partner. This is a fully remote, weekday position, ideal for an organized, self-directed professional who wants steady, dependable work from home. Your initial and ongoing primary focus is managing the CEO's email and calendar -- sending emails and scheduling appointments. This individual must be quick on their toes, able to change direction and turn on a dime, then pick right back up where they left off.
Responsibilities
- Manage the CEO's inbox, calendar, and scheduling day to day
- Run email and contact management in HubSpot -- send and track emails, import and organize contacts, and keep records clean and up to date
- Communicate professionally with clients, vendors, and team members
- Maintain digital files, handle data entry, and keep company records organized
- Build and update reports and spreadsheets
- Cookordination projects and follow up on outstanding tasks
Requirements
- A track record of excellence as an Executive or Administrative Assistant -- not just experience, but a reputation for doing the job exceptionally well
- HubSpot experience -- comfortable managing email, importing and maintaining contacts, and working in the CRM (or a fast learner ready to get up to speed quickly)
- Proficiency with Microsoft Office (Word, Excel, Outlook, Teams)
- Comfort using AI tools like Claude
- Exceptional written communication, organization, and attention to detail
- Ability to prioritize, take ownership, and work independently
- Reliable high-speed internet and your own computer and quiet home workspace
