About the role
The Administrative Coordinator is a cross-functional position responsible for assisting the Park President, Finance Division, and Administration Division with a variety of tasks and projects, including routine administrative responsibilities. The ideal candidate is highly self-motivated, professional, and capable of managing workload and prioritizing tasks in a fast-paced environment.
Responsibilities
- Maintain and coordinate executive calendars, including meetings, travel arrangements, speaking engagements, and special events.
- Prepare meeting materials, presentations, reports, and other documentation needed for business operations.
- Coordinate travel logistics and expense reporting for senior leadership.
- Manage leadership schedules, calendars, and Director on Duty assignments.
- Schedule conference rooms, coordinate catering, and support meeting logistics as needed.
- Welcome and assist executive visitors and business guests.
- Manage incoming calls, correspondence, and inquiries for the Park President's Office.
- Draft, edit, proofread, and distribute communications, reports, presentations, and other business materials.
- Coordinate communication and collaboration with park leadership teams, corporate partners, and external organizations.
- Respond to guest concerns, compliments, inquiries, and complaints, ensuring appropriate follow-up with park departments.
- Support guest relations initiatives and event execution activities through CRM and administrative support.
- Maintain relationships with professional, civic, and community organizations on behalf of the park.
- Manage electronic and physical filing systems for the General Management Office.
- Maintain contracts, licenses, permits, and administrative records.
- Coordinate business license renewals and required postings for assigned properties.
- Ensure compliance with company record retention policies and document management standards.
- Prepare and distribute business reports, analyses, and operational documentation.
- Support accounts payable processes, including check distribution and signature coordination.
- Assist with payroll administration and related documentation.
- Partner with park leadership on special projects, reporting, and business initiatives.
- Coordinate employee recognition programs, including birthdays and work anniversaries.
- Assist with the development and distribution of employee communications and newsletters.
- Support maintenance of internal team member communication platforms and resources.
- Manage office supply inventory and vendor orders.
- Maintain organized and professional office environments.
- Coordinate charitable giving initiatives and community outreach activities.
- Serve as a liaison between the park and community organizations.
- Perform other duties as assigned.
Requirements
- Advanced Microsoft Office skills, including PowerPoint & Outlook, with aptitude to become familiar with company-specific programs and software.
- Proficiency in collaboration and ability to multitask on a daily basis.
- Ability to keep work information confidential.
- Initiative, pleasant demeanor, and a professional appearance.
- Effective oral and written communication skills, including excellent phone skills to ensure diplomacy and composure is maintained at all times.
- Strong organizational, project management, analytical skills, and problem-solving skills with impeccable multi-tasking abilities.
- Ability to work a flexible schedule, including holidays and weekends.
- Ability to lift up to 40 lbs.
- High School Diploma, GED, or equivalent.

Pay
$23.00 per hour.
