Responsibilities
- Manage complex calendars across multiple executives, strategically prioritizing meetings, appointments, and competing demands.
- Anticipate scheduling conflicts and operational challenges, proactively implementing solutions before they impact leadership.
- Serve as a trusted partner to executive leadership, helping maximize efficiency, productivity, and organizational effectiveness.
- Prepare executives for meetings by organizing materials, drafting agendas, conducting research, and ensuring all necessary information is readily available.
- Act as a primary point of contact for internal and external stakeholders, handling communications with professionalism, discretion, and sound judgment.
- Career logistics: Coordinate detailed domestic and international travel arrangements, including flights, accommodations, itineraries, and contingency planning.
- Handle sensitive information with the highest level of discretion.
- Partner closely with leadership and cross-functional teams to support special projects and operational priorities.
- Identify opportunities to improve processes, create efficiencies, and strengthen organizational infrastructure.
Requirements
- 10+ years of experience supporting C-suite executives, founders, or senior leadership teams, specifically within a high-growth startup environment.
- Proven track record of providing strategic executive support beyond traditional calendar management.
- Demonstrated ability to anticipate needs, exercise sound judgment, and independently solve problems.
- Exceptional organizational skills with meticulous attention to detail and follow-through.
- Strong interpersonal skills with the ability to build trust and credibility across all levels of an organization.
- Comfortable operating with ambiguity and adapting quickly in a dynamic environment.
- Expert user of Google Workspace, Slack, and modern business productivity tools.
- A highly educated background preferred, with a focus on supporting startups.
- Ability to multitask in a fast-paced environment with shifting priorities.
- Proficiency in Google Workspace, Slack, and expense reporting tools.
- Discreet, proactive, and adaptable with a problem-solving mindset.
- Experience in project management and event coordination is a plus.
