Role Overview
The Executive Assistant will serve as a trusted partner to senior executives, providing high-level administrative and operational support. This is a high-impact, high-visibility role requiring exceptional judgment, discretion, and the ability to manage competing priorities in a fast-paced, client-facing environment.
Key Responsibilities
Executive & Calendar Management: Manage complex calendars for multiple senior executives, including client meetings, internal discussions, and external engagements. Proactively resolve scheduling conflicts and prioritize executive time effectively.
Clock & Travel Coordination: Coordinate domestic and international travel logistics, including detailed itineraries and accommodations.
Expense Reporting: Prepare and reconcile expense reports, credit card activity, and reimbursements with accuracy and timeliness.
Client Service & Meeting Coordination: Act as a professional first point of contact for high-net-worth clients and external partners. Coordinate and prepare meeting materials, including agendas, presentations, and follow-up summaries. Support seamless client experiences through detailed planning and communication.
Office Operations & Administration: Oversee day-to-day office operations, including vendor management, supplies, and hospitality. Manage incoming communications, mail, and office logistics. Partner with internal teams on special projects and process improvements.
