About the role
The Executive Assistant serves as the operational anchor for two key Vice Presidents within the engineering and product organizations. This role handles high-velocity scheduling, communication flows, and cross-functional project tracking to maximize leadership bandwidth. Operating in a fast-paced, hybrid technology environment in Seattle, the role requires a proactive partner who can navigate organizational complexity, prioritize shifting demands, and manage sensitive business initiatives with absolute discretion.
Responsibilities
- Manage complex, multi-time-zone calendars in Google Workspace, resolving conflicts proactively and protecting focus time.
- Coordinate comprehensive domestic and international travel logistics, including flight, lodging, and visa requirements, while maintaining detailed itineraries.
- Facilitate leadership meetings by preparing agendas, documenting action items, and tracking deliverables across engineering and product teams.
- Draft, review, and proofread internal announcements, organizational updates, and executive presentations using Slack, Email, and Google Slides.
- Plan and execute team offsites, morale events, and large-scale summits, managing budget allocation and vendor contracts.
- Process monthly expense reports, purchase orders, and department invoices in compliance with corporate finance policies.
Requirements
- 4+ years of experience providing administrative support to director-level or VP-level executives in a technology company.
- Expert-level proficiency with modern productivity suites, specifically Google Workspace, Slack, Zoom, and Confluence.
- Proven track record of managing confidential corporate information, personnel changes, and sensitive roadmap details.
- Exceptional project management capabilities, with the ability to lead event planning and cross-team logistics from inception to execution.
- Strong written and verbal communication skills, with a focus on professional, clear, and direct interaction across all levels of the organization.
- Bonus: Experience utilizing task management software like Jira, Asana, or Monday.com, and holding a Bachelor's degree.
