Key Responsibilities
- Schedule and manage meetings, appointments, and travel arrangements.
- Prioritize and coordinate calendar events to optimize the executive's time.
- Screen and manage phone calls, emails, and other correspondence.
- Draft and edit correspondence, reports, and presentations.
- Serve as a liaison between the executive and internal/external stakeholders.
- Prepare and process documents, reports, and presentations.
- Maintain and organize files, records, and documentation.
- Aid in project management and follow-up on action items.
- Arrange travel itineraries, including flights, accommodations, and transportation.
- Prepare travel expense reports and ensure timely reimbursement.
- Organize and coordinate meetings, conferences, and special events.
- Prepare meeting agendas, take minutes, and ensure follow-up on action items.
- Handle sensitive and confidential information with discretion and integrity.
- Oversee office supplies and equipment, reorder as necessary.
- Ensure a well-organized and efficient office environment.
Minimum Qualifications
- Education: Working-level knowledge of English language, including reading, writing, and speaking English. Completion of classes related to business skills, management, or computers preferred.
- Experience: At least five years of responsible administrative secretarial and computer experience. Hospital background and Microsoft Office software experience preferred.
- Licenses: None required.
- Certifications: None required.
- Computer / Typing: Proficient with Microsoft Office Suite, including Outlook, PowerPoint, Excel, and Word. Ability to type and efficiently use word processing equipment and operate modern office machines.
